About the Role:

The Advanced Scheduler plays a critical role in ensuring the efficient and effective coordination of appointments, procedures, and resources within a healthcare setting. This position is responsible for managing complex scheduling needs that support patient care delivery and optimize the use of clinical and administrative staff time. The Advanced Scheduler collaborates closely with healthcare providers, patients, and administrative teams to maintain accurate and timely schedules that align with organizational priorities and patient needs. By proactively identifying scheduling conflicts and resolving them promptly, this role helps to minimize patient wait times and maximize operational efficiency. We are excited to announce that we are looking for a Full Time, Advanced Scheduler at Windsor Center for Albany Gastroenterology Consultants in Albany, NY.

Minimum Qualifications:

• High school diploma or equivalent required; associate degree or higher preferred.
• Minimum of 2 years of experience in scheduling or administrative support within a healthcare environment.
• Proficiency with electronic health record (EHR) systems and scheduling software.
• Strong organizational and communication skills.
• Ability to handle sensitive patient information in compliance with HIPAA regulations.

Preferred Qualifications:

• Experience working in a hospital or multi-specialty clinic setting.
• Familiarity with medical terminology and healthcare workflows.
• Certification in medical scheduling or healthcare administration.
• Demonstrated ability to manage complex scheduling scenarios and prioritize competing demands.
• Experience with customer service or patient relations.

Responsibilities:

• Coordinate and manage patient appointments, procedures, and follow-ups across multiple departments or specialties.
• Communicate effectively with patients, healthcare providers, and staff to confirm appointments and provide necessary information.
• Utilize electronic health record (EHR) systems and scheduling software to maintain accurate and up-to-date schedules.
• Identify and resolve scheduling conflicts or issues promptly to ensure optimal resource utilization.
• Assist in the preparation of daily schedules and reports to support clinical and administrative operations.
• Collaborate with clinical teams to accommodate urgent or emergent scheduling needs.
• Maintain confidentiality and comply with healthcare regulations and organizational policies.

The Advanced Scheduler utilizes strong organizational skills daily to manage multiple appointment calendars and ensure accuracy in scheduling. Effective communication skills are essential for interacting with patients, providers, and staff to confirm appointments and resolve conflicts. Proficiency with EHR and scheduling software enables the Advanced Scheduler to efficiently input, update, and retrieve scheduling information, supporting smooth clinical operations. Problem-solving skills are applied to anticipate and address scheduling challenges, minimizing disruptions to patient care. Additionally, knowledge of healthcare regulations and confidentiality requirements ensures that all scheduling activities comply with legal and ethical standards.
