A growing civil litigation firm is seeking an experienced, reliable, and detail-oriented Legal Secretary / Legal Assistant to support attorneys and paralegals across medical malpractice, personal injury, motor vehicle accidents, general civil litigation, and commercial matters.
This is a hands-on role for someone who is organized, dependable, professional, and comfortable working in a fast-paced litigation environment.
Key Responsibilities
Provide administrative and legal support to attorneys and paralegals.
Draft and prepare correspondence, pleadings, notices, discovery, and other legal documents.
Assist with case intake, file opening, discovery, document organization, and case management.
Communicate professionally with clients, opposing counsel, courts, court reporters, medical providers, experts, and other parties.
Schedule and coordinate depositions, hearings, mediations, medical examinations, meetings, and other case events.
Maintain calendars, deadlines, reminders, and case-related correspondence.
Prepare materials for depositions, hearings, mediations, and trials, including binders and exhibits.
Handle courthouse filings, docket checks, certified copies, court lists, and time-sensitive deliveries.
Process incoming and outgoing mail, including certified, priority, overnight, and courier deliveries.
Scan, organize, name, and maintain electronic and physical case files.
Provide front desk support, answer phones, greet clients and visitors, and receive packages.
Maintain office supplies, equipment, and general organization.
Assist with courthouse runs, deliveries, errands, and other tasks requiring an in-person presence.
Maintain strict confidentiality and follow firm procedures for case management and document handling.
Qualifications
Prior law firm or legal office experience required.
Civil litigation, personal injury, or medical malpractice experience preferred.
Knowledge of legal terminology, court filings, litigation procedures, and case management.
Excellent organizational skills and exceptional attention to detail.
Strong written and verbal communication skills.
Ability to manage deadlines and multiple competing priorities.
Proficiency with Microsoft Office, email, scanners, copiers, printers, and general office equipment.
Experience with legal case management and electronic filing systems preferred.
Professional, dependable, punctual, and trustworthy.
Comfortable handling courthouse runs, office errands, and other in-person responsibilities.
Ability to work independently while contributing effectively to a team.
Ability to lift and carry file boxes and assist with physical file management.
Schedule & Work Environment
Full-time, 100% in-office position.
Schedule may require flexibility based on court deadlines, filings, hearings, trials, and other firm needs.
Regular office attendance is essential due to courthouse responsibilities, physical files, mail processing, and client/visitor interaction.
