As an Administrative Assistant, you are the foundation of our daily operations, directly supporting our mission to restore hope to those affected. Your role is crucial in ensuring efficiency and providing the support necessary for our team to make a meaningful impact.

Performance Objectives
  • Streamline office operations by managing calendars, scheduling meetings, and coordinating logistics efficiently to support three leaders.
  • Enhance communication flow by drafting correspondence, preparing reports, and maintaining accurate, up-to-date records.
  • Facilitate events by coordinating with cross-functional teams, ensuring successful execution through meticulous planning and attention to detail.
  • Act as the first point of contact for inquiries, providing courteous and informed responses that align with our mission and values.
  • Maintain office supplies inventory and place orders as necessary to ensure the seamless operation of daily tasks.
  • Support financial operations by assisting with budget tracking and processing invoices and reimbursements promptly and accurately.
  • Contribute to team success by proactively identifying areas for process improvement and implementing solutions that enhance efficiency.

Essential Qualifications
  • Minimum of 3-5 years of experience in an administrative role, ideally within a nonprofit or social impact organization.
  • Demonstrated ability to coordinate and manage large events independently. including vendor management, negotiations, seating, presentations, dining and troubleshooting issues as they arise
  • Proficiency in MS Office Suite and familiarity with scheduling and communication tools.
  • Exceptional organizational skills with a strong attention to detail and ability to multitask effectively.
  • Maintain office and three executive calendars.
  • Lead meetings, prepare and deliver presentations.
  • Create, maintain and implement tracking mechanisms to gather and report data.
  • Strong verbal and written communication skills tailored to various audiences.
  • Proactive problem-solver with a collaborative mindset and a dedication to our mission.

Technical Competencies:

  • Proficient in Google Workspace tools
  • Comfortable navigating Apple/macOS systems
  • Knowledge of 1Password for secure credential management
  • Working knowledge of BambooHR
  • Effective communication using Slack or similar internal messaging tools
  • Ability to create and deliver professional presentations using Google Slides, Keynote, or similar software
  • Proficiency with Quickbooks
  • Excellent computer skills needed
  • Able to create spreadsheets, graphs, charts, presentations and other documents

Other Requirements

  • Reliable transportation
  • A valid state driver’s license and valid vehicle insurance
  • Ability to drive a 15-passenger van
  • Ability to drive on the highway for long distances (2 hours+)
  • Willing to submit to and pass a pre-employment background screen and drug test as well as periodic drug tests during employment

Education, Training, and Experience

  • Bachelor’s Degree Preferred
  • One or more years of experience working in anti-trafficking or trauma-care preferred
  • Must complete client’s Basic Training and Restorative Care Orientation
  • Must complete all client’s Trauma Trainings pre-service and in-service
