Provide high-level administrative and operational support to the Self-Direction, Supported Employment, Community Habilitation, Respite, and Day Habilitation departments.
Serve as a central coordination point across community programs to support efficient operations, accurate documentation, timely communication, and regulatory compliance.
Assist with managing and tracking employee training requirements for Community Program staff.
Coordinate the collection, review, distribution, and tracking of required documentation for participants, families, staff, and external partners.
Support participant intake and administrative processes by maintaining required documentation and assisting with onboarding activities.
Create and maintain staff enrollments and profiles in eVero.
Develop, maintain, and manage operational reports, Power BI reports, key performance indicators, operational data, and performance metrics.
Support leadership with data analysis and reporting for strategic planning and data-driven decision-making.
Review and submit Electronic Visit Verification (EVV) compliance records.
Monitor compliance reports, operational data, and tracking systems to identify outstanding items and ensure timely follow-up.
Manage and report on tracking system data related to evaluations, training, EVV, and other program requirements.
Prepare professional correspondence, presentations, meeting materials, reports, and organizational communications.
Assist with the preparation and distribution of reports, presentations, and other materials for internal teams and leadership.
Serve as a point of contact for employees, families, external vendors, and community partners, helping to address questions and resolve issues.
Assist with the employee onboarding process, which may include scheduling interviews, screening candidates, and coordinating new-hire orientations.
Provide administrative and logistical support for projects and initiatives, including data reports, family presentations, workshops, resource fairs, open houses, meetings, and other events.
Collaborate with cross-functional teams and departments to promote smooth operations and a positive working environment.
Support compliance with applicable government regulations, organizational policies, procedures, and operating standards.
Participate in departmental meetings and provide administrative support as needed.
Assist with implementing quality improvement processes for program services and administrative functions.
Support outreach and community partnership initiatives through event planning and coordination.
Required:
Minimum of 3 years of administrative experience.
Proficiency with Microsoft Office programs, including Word, Excel, and PowerPoint.
Working knowledge of OPWDD services and supports.
Excellent written, verbal, and interpersonal communication skills.
Strong organizational and time-management skills.
Ability to self-initiate tasks, organize priorities, and solve problems independently.
Ability to manage multiple assignments simultaneously and consistently meet deadlines.
Strong attention to detail and accuracy when handling documentation and data.
Ability to exercise discretion when working with confidential and sensitive information.
Smartphone required.
Must have completed the orientation period of 3–6 months in the current position, where applicable.
Must be in good standing in the current position, where applicable.
Must be current with all required mandatory trainings.
Preferred:
Bachelor's degree.
Experience working in a nonprofit, human services, or community-based organization.
Experience with eVero, Power BI, EVV systems, or other program management and reporting platforms.
Experience supporting OPWDD-funded programs or other developmental disability services.
