• Reconcile bank accounts, credit cards, and other financial records on a regular basis, researching discrepancies and ensuring accurate reporting.
• Coordinate payment processing through checks, electronic transfers, and other methods while maintaining organized vendor schedules and timely disbursements.
• Produce financial statements and internal reports such as profit and loss summaries, balance sheets, cash flow updates, variance reviews, and project-level cost tracking.
• Oversee billing for projects by preparing invoices, monitoring retainage, following up on outstanding receivables, and supporting submissions through client-required billing portals.
• Support monthly, quarterly, and year-end close activities while partnering with external accounting and tax advisors to meet reporting and filing deadlines.
• Process payroll for a small employee population, maintain timekeeping records, and assist with payroll tax filings, onboarding coordination, and employee file administration.
• Track licensing, insurance, compliance renewals, and related business records, including subcontractor documentation, lien waiver administration, and public works or certified payroll requirements.
• Help improve administrative and financial procedures by documenting workflows, maintaining organized records, and identifying opportunities to streamline operations as business needs evolve.• Demonstrated experience in bookkeeping with hands-on responsibility for accounts payable, accounts receivable, and bank reconciliations.
• Proficiency with QuickBooks and comfort working in accounting systems used for general ledger management and financial reporting.
• Working knowledge of payroll processing, routine tax filings, and core bookkeeping controls.
• Ability to prepare accurate financial reports and support month-end and year-end close activities.
• Experience handling invoicing, collections, and payment tracking in a project-based or service-oriented environment.
• Strong organizational skills with the ability to manage multiple priorities, maintain accuracy, and meet deadlines independently.
• Familiarity with Washington state compliance requirements related to taxes, licensing, or payroll is preferred.
