Payroll Administrator | Pasadena, Texas | Temporary to Hire Opportunity

Position Summary:

Our client in Pasadena, TX is seeking a detail-oriented Payroll Administrator to manage internal payroll coordination and employee timekeeping. This position will work directly with Insperity, the company’s Professional Employer Organization (PEO), and use its time and attendance system to help ensure payroll information is complete, accurate, and submitted on time.

The Payroll Administrator will monitor employee timecards throughout the week, identify missed punches and discrepancies, and coordinate with employees, supervisors, and managers to resolve issues before payroll deadlines. This position will also onboard new employees into the system and provide general administrative and HR support as needed.

Key Responsibilities

  • Monitor employee timecards and attendance records throughout the payroll cycle.
  • Identify missed punches, incomplete timecards, incorrect job codes, and other discrepancies.
  • Communicate with supervisors and managers to obtain corrections and approvals before payroll deadlines.
  • Collect, review, and organize payroll information submitted by department managers.
  • Coordinate payroll processing directly with Insperity.
  • Verify regular hours, overtime, paid time off, holiday pay, and other payroll-related entries.
  • Maintain accurate payroll records and supporting documentation.
  • Onboard new employees into Insperity’s payroll and timekeeping systems.
  • Assist employees and supervisors with timekeeping questions and system navigation.
  • Track outstanding corrections and follow up until all payroll issues are resolved.
  • Maintain confidentiality when handling employee, payroll, and personal information.
  • Assist with payroll reports, audits, employee record updates, and other administrative responsibilities.
  • Provide additional HR and office support as business needs require.

Qualifications

  • Two or more years of payroll, timekeeping, human resources, or administrative experience preferred.
  • Experience working with Insperity or another PEO is strongly preferred.
  • Familiarity with electronic time and attendance systems.
  • Strong attention to detail and ability to identify discrepancies.
  • Excellent organizational, follow-up, and deadline-management skills.
  • Comfortable communicating with employees, supervisors, managers, and external payroll representatives.
  • Proficiency in Microsoft Outlook, Word, and Excel.
  • Ability to manage confidential information with discretion.
  • Ability to work independently in a fast-paced, growing organization.

Preferred Skills

  • Experience supporting hourly manufacturing employees.
  • Knowledge of overtime calculations, paid time off, payroll deductions, and timecard approvals.
  • Experience onboarding employees into payroll or HRIS platforms.
  • Ability to prepare basic payroll reports and Excel spreadsheets.

The successful Payroll Administrator will take a proactive approach to payroll accuracy, address timekeeping issues throughout the week, maintain consistent communication with supervisors, and ensure all required information is collected before each payroll deadline.
