We are seeking a dedicated and detail-oriented DME Intake Specialist to join our healthcare team. In this vital role, you will serve as the first point of contact for patients and providers, ensuring smooth and efficient processing of Durable Medical Equipment (DME) requests. Your energetic approach will help facilitate accurate documentation, insurance verification, and seamless communication between patients, insurance companies, and healthcare providers. Duties

  • Greet patients and healthcare providers with professionalism and enthusiasm, providing exceptional patient service at the front desk or via phone.
  • Review incoming documentation for completeness and accuracy, ensuring all required information is collected for DME authorization.
  • Verify insurance coverage, including Medicare, Medicaid, and private insurers, using systems such as Epic, Meditech, Athenahealth, or other EMR (Electronic Medical Record) systems.
  • Conduct insurance verification and pre-authorization processes to facilitate timely approval of DME requests.
  • Review medical records and documentation to confirm medical necessity in accordance with HIPAA regulations and CPT coding standards.
  • Utilize medical coding expertiseincluding ICD-10, ICD-9, CPT codesto ensure proper billing and documentation review.
  • Collaborate with clinical staff to develop or update care plans related to DME needs.
  • Manage electronic health records (EHR systems) to accurately document all interactions and approvals.
  • Assist in insurance claim submissions and follow-up on outstanding payments or denials.
  • Maintain organized filing of medical records, insurance documents, and correspondence related to DME intake processes.
  • Communicate effectively with patients regarding their insurance benefits, required documentation, and next steps in the process.
  • Support office management tasks such as scheduling appointments, answering multi-line phone systems, handling clerical duties like filing and data entry using Microsoft Office tools.
  • Uphold confidentiality standards in compliance with HIPAA regulations while managing sensitive health information.

Skills

  • Strong knowledge of medical collection processes, billing procedures, and insurance verification protocols.
  • Proficiency with EMR systems such as Epic, Meditech, Athenahealth, eClinicalWorks, or similar platforms.
  • Experience working with Medicare policies and understanding of ICD-10/ICD-9 coding standards for medical necessity documentation.
  • Familiarity with CPT coding procedures for billing purposes.
  • Prior clinic or medical office experienceespecially in a front desk or administrative support roleis highly desirable.
  • Strong computer skills including Microsoft Office Suite (Word, Excel), typing accuracy (10 key typing), and familiarity with health information management software.
  • Exceptional patient service skills combined with professional phone etiquette over multi-line phone systems.
  • Ability to review complex documentation thoroughly while maintaining attention to detail in a fast-paced environment.
  • Knowledge of healthcare regulations such as HIPAA is essential for maintaining confidentiality and compliance.
  • Experience in office management tasks such as filing, scheduling appointments, verifying insurance benefits, and handling customer inquiries.
