Job Description:

We are seeking a polished, proactive, and highly organized Temporary Executive Assistant to support a senior-level executive during a period of transition. This individual will take ownership of a complex calendar, coordinate domestic and international travel, assist with expense management, and help ensure the executive is fully prepared for meetings and commitments.

The ideal candidate will be comfortable working independently, managing sensitive information, balancing competing priorities, and communicating professionally with a variety of stakeholders.

Key Responsibilities:

  • Manage and maintain a busy executive calendar, including scheduling, meeting coordination, and resolving scheduling conflicts.
  • Evaluate competing priorities and use sound judgment when determining how to organize the executive's time.
  • Coordinate domestic and international travel, including flights, hotels, transportation, itineraries, and last-minute adjustments.
  • Arrange meals, events, and other logistics associated with executive travel and meetings as needed.
  • Organize receipts and assist with submitting and reconciling executive expenses.
  • Utilize an expense management system to support timely and accurate expense reporting.
  • Assist with meeting preparation by gathering requested information, profiles, and supporting materials.
  • Serve as a professional point of contact with internal and external stakeholders when appropriate.
  • Handle confidential information with discretion and professionalism.
  • Anticipate the executive's needs and proactively address administrative priorities.

Qualifications:

  • Bachelor's degree required.
  • Previous experience providing direct support to a senior-level executive.
  • Demonstrated ability to independently manage a complex and fast-moving executive calendar.
  • Strong organizational and prioritization skills with the ability to manage multiple competing requests.
  • Excellent written and verbal communication skills.
  • High level of professionalism, discretion, and sound judgment.
  • Ability to work independently and take initiative without extensive direction.
  • Stable professional work history with demonstrated longevity in previous positions.
  • Advanced proficiency with Outlook and Microsoft Office.
  • Comfortable working with Zoom and other standard business technology.

Additional Details:

  • Hybrid work environment.
  • Part-time schedule of 24 hours per week.
  • Tuesday–Thursday, 9:00 AM–5:00 PM.
  • Assignment is expected to last 1–3+ months, with potential for extension.
  • Early October start date anticipated.
  • Interview process will consist of one virtual interview, with a potential onsite meeting depending on the final selection process.
  • Parking is available.
  • This role is best suited for an experienced Executive Assistant who enjoys high-level administrative support rather than someone looking to transition into program or project-focused work.
  • Candidates with frequent short-term positions may not be the best fit for this opportunity.
