Exact Medical Manufacturing

Lancaster, NY 14086 • $55,000 / yr • 9/11/2026

Job Description

Job Description

Exact Medical Manufacturing manufactures and distributes medical products used by hospitals and healthcare systems. We are looking for a dependable, organized person to manage customer orders, coordinate shipments, and follow operational issues through to completion.

Your work will directly affect whether customers receive the correct products, whether inventory records are accurate, and whether orders are delivered and invoiced properly.

We will train you on our products, systems, and procedures. You need to bring sound judgment, attention to detail, basic Excel skills, and a consistent commitment to learning and following through.

What you will do

  • Review and enter customer purchase orders, checking pricing, quantities, product information, and delivery requirements.
  • Track orders, inventory availability, shipments, and outstanding actions.
  • Communicate with customers, internal departments, warehouses, and transportation partners.
  • Investigate discrepancies and identify what information or action is needed to resolve them.
  • Maintain accurate records and support invoicing and operational reporting.
  • Learn our import documentation, inventory planning, and logistics procedures.
  • Follow established processes and escalate issues that require additional expertise or approval.

What we expect

You check your work. When two pieces of information disagree, you investigate. When someone owes you an answer, you track the follow-up. When a deadline is at risk, you communicate early.

The job includes recurring administrative work and interruptions that require prioritization. Success means keeping routine work accurate while moving open issues toward resolution.

Qualifications

  • Working knowledge of Excel, including data entry, sorting, filtering, and basic formulas.
  • Ability to compare information, recognize discrepancies, and explain your reasoning.
  • Clear written and verbal communication.
  • Ability to organize multiple responsibilities and meet agreed deadlines.
  • Dependable attendance, ownership of mistakes, and willingness to apply feedback.
  • Comfort learning software and following detailed procedures.

Experience with customer orders, inventory, scheduling, purchasing, billing, or logistics is helpful. A degree or previous medical-device experience is not required.

Benefits

Health and dental insurance, paid time off, and a 401(k) with company matching.

How to apply

Submit your rsum. No cover letter is required.

Our interview process includes a brief conversation and a practical exercise involving Excel, checking order information, and explaining next steps. All necessary industry information will be provided.
