Job Description
We are looking for an experienced Operational Human Resources specialist to support day-to-day HR coordination, office operations, and employee-facing administrative functions in Grand Rapids, Michigan. This Long-term Contract position is well suited for someone who brings strong judgment, a service-oriented mindset, and the ability to keep multiple priorities moving smoothly in a fast-paced onsite environment. The role will partner across teams to strengthen workplace organization, support hiring and onboarding activities, and help maintain an efficient, well-organized office experience.
Responsibilities:
• Oversee calendars, meetings, and cross-functional administrative activities to keep operational priorities organized and on schedule.
• Prepare and share internal updates, announcements, and other employee communications with clarity and professionalism.
• Maintain an orderly, welcoming workplace by monitoring office conditions and addressing issues before they affect daily operations.
• Manage relationships with external suppliers, track inventory levels, and coordinate replenishment of office materials and resources.
• Organize team gatherings, company events, and employee appreciation activities while ensuring smooth logistics and execution.
• Provide hands-on support for meetings by coordinating room setup, presentation materials, and audiovisual needs.
• Assist with human resources administration, including onboarding tasks, employee documentation, background checks, and record maintenance within HR systems.
• Coordinate interview scheduling and candidate correspondence to support an organized and positive recruiting process.
• Contribute to HR compliance efforts and broader operational projects by maintaining documentation and supporting process execution.• Experience in human resources coordination, office administration, operations support, or a closely related function.
• Ability to manage sensitive information with discretion and maintain confidentiality in employee and business matters.
• Strong written and verbal communication skills with the ability to adapt messaging for different audiences.
• Demonstrated success handling multiple assignments independently while maintaining accuracy and follow-through.
• Proficiency with Microsoft Office and familiarity with HRIS platforms and common workplace technology.
• Knowledge of onboarding processes, HR administration, background checks, and employee record support.
• Strong problem-solving ability, sound judgment, and a proactive approach to resolving workplace needs.
• Capacity to work onsite consistently and support a collaborative office environment.
