Scheduling Assistant

Key Responsibilities

• Schedule and confirm pickup and delivery appointments with shippers, receivers, and carriers in accordance with customer requirements and transit plans.
• Proactively communicate appointment details, changes, delays, and special instructions to all relevant parties (carriers, account managers, operations, and customers).
• Monitor shipment status and appointment compliance using the company’s Transportation Management System (TMS) and other tracking tools.
• Resolve appointment conflicts, reschedule as needed, and escalate issues that impact on-time delivery or customer service levels.
• Track and document detention, layover, and accessorial events related to appointments; support accurate billing and claims processes.
• Maintain accurate and up-to-date records of appointments, contacts, facility requirements, and operating hours.
• Collaborate closely with load planners, carrier sales, and account executives to optimize appointment windows and equipment utilization.
• Provide excellent customer service by responding promptly to inquiries and maintaining professional communication via phone, email, and messaging platforms.
• Identify and report recurring facility or process issues that affect appointment reliability.
• Support continuous improvement initiatives related to appointment processes, data quality, and carrier performance.
