Administrative Assistant

Seattle, WA

Our client, a respected multi-generational family-owned investment company, is looking for an experienced Administrative Assistant to provide dependable support to its leadership team and daily operations.

This role is ideal for a proactive, highly organized, detail-oriented professional who can manage multiple priorities, handle confidential information, and provide polished administrative support.

Administrative Assistant Responsibilities

  • Manage calendars, meetings, travel arrangements, and expense reports for management.
  • Prepare agendas, presentations, meeting materials, minutes, and follow-up items.
  • Coordinate communications, mailings, and document distribution.
  • Maintain accurate contact, account, and ownership records in database systems.
  • Respond to inquiries and provide professional support to internal and external contacts.
  • Assist with reports, data entry, document management, and recordkeeping.
  • Coordinate logistics for company events, meetings, and special projects.
  • Work with internal teams, vendors, and external partners to complete projects.
  • Support process improvements and the use of technology and AI-enabled tools.
  • Maintain strict confidentiality and perform other administrative duties as assigned.

Administrative Assistant Qualifications

  • Associate degree or at least 7 years of administrative, operations support, or related experience.
  • Strong organizational skills, attention to detail, and ability to manage multiple priorities.
  • Excellent written and verbal communication skills and ability present professionally to an executive team.
  • Proficiency with Microsoft Office, including Word, Excel, Outlook, and PowerPoint.
  • Experience with calendar management, meeting coordination, and database systems.
  • Familiarity with DocuSign and virtual meeting platforms.
  • Experience in investment, financial services, family office, or professional services is preferred.
  • Ability to travel for occasional company events and work a limited number of evenings or weekends as needed.

Compensation: $33-40/hour
