Repair Operations Coordinator – Aerospace MRO

Position Overview

The Repair Operations Coordinator supports the day-to-day execution of aerospace component repair orders within a regulated Maintenance, Repair, and Overhaul (MRO) environment. This position helps move customer repair orders through each stage of the process, from initial receipt and evaluation through repair completion, documentation, and shipment.

The coordinator serves as a central point of communication between customers and internal teams including Operations, Engineering, Quality, Production, and Logistics. Success in this role requires strong organization, accurate documentation, excellent customer communication, and the ability to manage multiple priorities in a fast-paced repair environment.

The position will also support urgent customer requirements, including Aircraft on Ground (AOG) situations where quick communication and coordination are critical.

Key Responsibilities

  • Coordinate aerospace component repair orders from initial receipt through evaluation, quotation, repair, documentation, and final shipment.
  • Track open repair orders and communicate status, expected turnaround times, pricing, warranty information, and potential delays to customers.
  • Prepare and maintain repair-related documentation including work orders, certifications, invoices, shipping records, and component traceability information.
  • Ensure repair documentation and records meet applicable FAA, EASA, customer, and internal quality requirements.
  • Serve as a primary point of contact for customers throughout the repair process and provide clear, timely updates.
  • Support urgent AOG requests by coordinating priorities across Operations, Engineering, Quality, Production, and Logistics.
  • Monitor customer emails, requests, and online portals while prioritizing time-sensitive or high-impact issues.
  • Maintain accurate repair information within ERP systems, customer portals, and internal tracking tools.
  • Review system data for missing, inaccurate, or conflicting information and coordinate corrections as needed.
  • Work closely with Engineering and Production teams to resolve technical or operational issues affecting repair schedules.
  • Coordinate with Quality and Logistics to ensure documentation, certifications, and shipping requirements are completed correctly.
  • Maintain organized digital records through proper scanning, indexing, filing, and document retention practices.
  • Identify opportunities to streamline repair administration, reporting, order tracking, and customer communication.
  • Support additional operational projects and assignments as required.

Required Qualifications

  • High school diploma or equivalent.
  • Strong customer service and relationship-management skills within a professional business environment.
  • Excellent written and verbal communication skills.
  • Strong organizational skills with the ability to manage multiple repair orders and competing priorities simultaneously.
  • High attention to detail when reviewing documentation, customer requirements, and system information.
  • Comfortable working with ERP/business systems, Microsoft Office, Outlook, and other digital workflow tools.
  • Ability to learn new ERP platforms and customer-specific systems quickly; experience with IFS or similar ERP software is a plus.
  • Strong problem-solving skills with the ability to identify discrepancies, coordinate with the appropriate teams, and drive issues toward resolution.
  • Ability to work effectively in a deadline-driven environment where customer priorities may change quickly.
  • Comfortable supporting urgent or expedited requirements, including AOG situations.

Preferred Experience

  • Previous experience within an FAA Part 145 Repair Station, aerospace MRO facility, or another highly regulated repair/manufacturing environment.
  • Understanding of aircraft component repair processes and repair order workflows.
  • Familiarity with rotable components, aviation inventory, or aerospace supply chain operations.
  • Experience working with OEMs, airlines, aviation customers, or contractual repair programs.
  • Experience using customer portals, ERP systems, or electronic repair tracking platforms.
  • General understanding of FAA/EASA documentation and traceability requirements.

Physical Requirements

This is primarily a sedentary position involving computer-based administrative and coordination responsibilities. The role may occasionally require standing, walking, or handling materials weighing up to approximately 10 pounds. Sufficient visual acuity is required to review documentation, system data, repair records, and other detailed information.
