Location: Minneapolis, Minnesota
Employment Type: Full-Time, Direct Hire
Salary: $48,000 to $91,000 annually, based on experience

Position Overview

PPG Staffing is recruiting a knowledgeable and detail-oriented Legal Assistant for a well-established Minneapolis law firm. This position will support busy attorneys and paralegals within the firm’s Financial Services Department.

The ideal candidate is highly organized, dependable, responsive, and comfortable managing multiple deadlines in a fast-paced, collaborative law firm environment.

Key Responsibilities

  • Draft, edit, proofread, and format professional correspondence and legal documents.
  • Review, organize, assemble, scan, and distribute documents.
  • Prepare, circulate, and track signature pages.
  • Create, update, and maintain transaction and closing checklists.
  • Assist attorneys and paralegals with transaction closings.
  • Process and transmit client documents and other materials.
  • Calendar important transaction and closing dates.
  • Review, edit, and finalize attorney time entries.
  • Process and distribute client invoices.
  • Process expense reimbursements.
  • Organize and maintain electronic client and matter files.
  • Open new client and matter files.
  • Complete document comparisons.
  • Maintain attorney calendars and email correspondence.
  • Answer telephone calls and coordinate travel arrangements.
  • Communicate regularly with attorneys, paralegals, and other team members regarding the status of client matters.
  • Serve as a liaison between attorneys and clients, facilitating communication and the timely exchange of information.
  • Provide responsive, professional service to clients and colleagues.
  • Complete additional projects and assignments as needed.

Required Qualifications

  • Experience providing professional administrative support.
  • Excellent written and verbal communication skills.
  • Advanced proficiency with Microsoft Office, including Word, Outlook, Excel, and PowerPoint.
  • Strong attention to detail and commitment to producing accurate work.
  • Strong initiative and creative problem-solving abilities.
  • Ability to organize, prioritize, and manage multiple assignments effectively.
  • Ability to meet deadlines and work with a strong sense of urgency.
  • Dependable, accountable, and professional in all interactions.
  • Strong interpersonal skills and the ability to work with individuals at every level of an organization.
  • Ability to remain flexible and productive when priorities, schedules, or deadlines change.
  • Ability to work effectively in a fast-paced, team-oriented environment.

Preferred Qualifications

  • At least one year of legal administrative assistant or legal assistant experience within a law firm.
  • Previous experience working in a legal office.
  • Experience supporting attorneys working on financial transactions or business matters.
  • Experience using iManage and InTapp.

Working Conditions

  • Regular use of computers, telephones, copiers, and other office equipment.
  • Extended periods of sitting and computer-related work.
  • Ability to lift up to 20 pounds.
  • This position may occasionally require working more than 37.5 hours per week.

Compensation

The employer is committed to fair and equitable compensation practices. The specific offer will be determined based on the selected candidate’s relevant experience, knowledge, qualifications, and alignment with the responsibilities of the position.

  • Candidates building foundational experience in this type of role may receive an offer between $48,000 and $66,000.
  • Candidates with growing proficiency and a solid record in similar positions may receive an offer between $56,000 and $75,000.
  • Candidates with advanced or specialized knowledge and experience handling complex work may receive an offer between $67,500 and $80,000.
  • Candidates with extensive experience, strategic-level capabilities, or deep subject-matter expertise may receive an offer of up to $91,000.

The posted salary ranges are provided in good faith. Compensation may be adjusted based on the selected candidate’s qualifications and experience, as well as internal and external equity considerations.
