Location: Sunnyvale, CA (Must be local and onsite)

Pay Rate:$40–$50/hr | Weekly Pay + Benefits

Duration: 3–6 Months Temp-to-Permanent ( long term)

Schedule: Full-time, Monday–Friday | Early start, approximately 7:30–8:00 AM

As the organization continues to grow and expand its workplace, they are looking for an experienced and highly organized Workplace Operations Coordinator to help keep their new three-story office running smoothly.

About the Role

We are looking for an experienced Facilities/Workplace Operations professional with at least 5 years of relevant experience supporting commercial office environments.

This person will serve as the onsite facilities point of contact between employees, property management, vendors, contractors, and building services. Employees will come to this person with facilities-related issues, and this person will assess the situation, determine the appropriate next step, and coordinate with the property manager or vendor through resolution.

This is a Facilities-focused individual contributor role, not a handyman position and not a people-management role. The ideal candidate understands building operations, HVAC, basic electrical and plumbing, OSHA/safety requirements, vendor management, and property management well enough to recognize issues, communicate effectively, and ensure they are properly resolved.

  • 5+ years of Facilities/ Workplace Operations ideally within a professional facilities services organization such as CBRE, JLL, or a similar company.
  • Strong working knowledge of facilities management, HVAC, building systems, OSHA, and workplace safety/compliance.
  • Proven experience working directly with property management, vendors, contractors, janitorial/building-service teams, and employees.
  • A true team player with a can-do attitude who takes ownership, follows through, communicates professionally, and is comfortable working as an individual contributor rather than seeking a management position.

Key Responsibilities

  • Oversee day-to-day facilities and workplace operations for the client's new three-story office.
  • Serve as the onsite point of contact for facilities-related employee requests and building issues.
  • Partner closely with property management to coordinate building services, repairs, inspections, maintenance, and compliance requirements.
  • Coordinate vendors, contractors, janitorial/day porter teams, security, and other building-service providers.
  • Manage and follow up on maintenance requests, repairs, work orders, and facilities tickets through resolution.
  • Conduct regular facility walkthroughs and identify issues involving HVAC, plumbing, electrical systems, equipment, cleanliness, or safety.
  • Apply knowledge of HVAC and basic building systems to recognize issues and determine the appropriate escalation or vendor support.
  • Support OSHA, EHS, fire/life-safety, inspections, fire drills, evacuation procedures, and emergency preparedness.
  • Manage badges, building access, parking, and contractor access.
  • Coordinate with property management regarding signage, inspections, building services, and compliance.
  • Help manage the facilities ticketing/work-order system and ensure requests are properly tracked and completed.
  • Support kitchen, coffee machines, snacks, waste/recycling, and other workplace facility programs.
  • Coordinate with vendors and internal teams for office events, all-hands meetings, catering, and employee celebrations.
  • Provide front desk coverage in the morning before the administrative employee arrives.
  • Support workspace needs, ergonomics, office moves, and general employee facilities requests.
  • Use sound judgment to determine whether an issue requires property management, a vendor, IT, or another internal team.
  • Take ownership of facilities issues from initial report through resolution and follow-up.

Required Qualifications

  • 4+ years of experience in Facilities and/or Facilities Management.
  • Experience supporting commercial office buildings, preferably in a multi-floor or corporate workplace environment.
  • Background with CBRE, JLL, Cushman & Wakefield, or a similar facilities/workplace services organization is strongly preferred.
  • Strong working knowledge of facilities management, HVAC, and basic building systems.
  • Working knowledge of OSHA, workplace safety, building compliance, and emergency preparedness.
  • Proven experience working closely with property managers and building management teams.
  • Experience coordinating and managing relationships with vendors, contractors, janitorial teams, day porters, security, and other building-service providers.
  • Experience managing maintenance requests, repairs, work orders, inspections, and building issues.
  • Experience supporting fire drills, evacuation procedures, emergency response, and safety programs.
  • Ability to recognize basic HVAC, plumbing, electrical, mechanical, or building maintenance issues and determine the appropriate next step.
  • Strong experience providing customer service to employees and workplace occupants.
  • Demonstrated can-do attitude and willingness to jump in and help wherever needed.
  • Proven ability to work effectively as an individual contributor without needing direct reports or a management title.
  • Comfortable working onsite and serving as the primary facilities contact for employees.
  • Ability to work independently and use sound judgment when handling unexpected facilities issues.
  • Experience with facilities ticketing/work-order systems or the ability to quickly learn new systems.
  • Proficiency with Outlook, Slack, Microsoft Teams, and Microsoft Office.
  • Must be local to Sunnyvale and comfortable working onsite Monday–Friday.

  • Experience supporting a technology, startup, research, biotech, or similarly fast-paced corporate environment.
  • Experience supporting a newly built or recently renovated office environment.
  • Experience with ergonomics and employee workspace setup.
  • Experience coordinating waste/recycling programs.
  • Experience supporting office events, catering, all-hands meetings, and employee celebrations.
