Advanced Medical Support Assistant (AMSA) - Community Care

Location: Dayton, OH

Job Type: Full-time

Schedule: Monday-Friday 8:00am-4:30pm

Job Summary

The Community Care AMSA manages front-line administrative operations for Veterans accessing healthcare in the community. This role serves as the primary administrative point of contact for tracking referrals, coordinating appointment scheduling with external networks, verifying eligibility, and processing documentation for non-facility health services in Dayton, OH.

Key Responsibilities

  • Referral Processing & Scheduling: Track, process, and manage incoming Community Care (CITC) consults from clinicians. Contact Veterans and external provider offices to schedule appointments, verify service availability, and adjust schedules as needed.

  • Customer Service & Communication: Receive and screen calls from Veterans, family members, and community providers. Explain administrative processes, referral statuses, and Community Care guidelines with high tact and diplomacy.

  • Medical Records Integration: Receive, organize, and upload incoming clinical records, progress notes, and medical reports from non-facility providers into the health record system.

  • Demographic & Revenue Support: Verify and update Veteran demographic information during every interaction. Collect, scan, and update third-party health insurance details to support revenue collection.

  • Beneficiary Travel Guidance: Advise Veterans on travel eligibility, reimbursement rates, and claim procedures. Connect Veterans to Transportation Coordinators for special arrangements when authorized.

  • Team Operations & Tracking: Participate in daily huddles and administrative meetings. Conduct daily tracking of active/pending consults, recall lists, and suspense items to maintain strict compliance with care timeframes.

Qualifications & Mandatory Requirements

  • Education & Experience: 2 to 3 years of experience in medical administration OR a Medical Administration Certificate from an accredited institution.

  • Core Skills: Strong customer service abilities, computer systems proficiency, standard office equipment operation, and clear verbal and written English communication skills.

  • Vetting & Security: Must successfully pass a Tier 1 / Low Risk background check, receive PIV card authorization, and strictly adhere to federal privacy standards.

  • Health & Clearances: Must comply with annual TB testing and immunization requirements, as well as complete mandatory system training (EHR, HIPAA, Active Threat, Ethics).
