YWCA Lancaster is looking for full-time Development Operations Coordinator, who is an integral part of our team.

The Development Operations Coordinator is responsible for managing the organization's fundraising systems, donor database, reporting, and development operations while actively supporting revenue generation through donor cultivation, sponsorship solicitation, and community partnership development. This position serves as an administrator for Bonterra EveryAction and plays a key role in achieving fundraising goals by ensuring strong data integrity, effective donor engagement, and successful resource development efforts.

What your day looks like:

CRM & Database Management

  • Maintain accurate and complete donor records.
  • Perform ongoing data quality audits, cleanup efforts, and duplicate record management.
  • Develop and enforce data entry standards, naming conventions, and database procedures.
  • Create and maintain custom queries, segments, and constituent lists.
  • Coordinate CRM updates and troubleshoot system issues in partnership with Development Director and Bonterra support.

Gift Processing & Revenue Management

  • Process and record all gifts, pledges, recurring donations, matching gifts, and soft credits.
  • Ensure timely and accurate gift acknowledgments and donor receipts.
  • Reconcile donation records with accounting and finance systems.
  • Monitor campaign, fund, and appeal coding to ensure consistency and reporting accuracy.
  • Maintain donor giving histories and stewardship records.

Reporting & Analytics

  • Generate regular fundraising reports for leadership, development staff, finance staff, and the Board of Directors.
  • Develop dashboards and reporting tools that track fundraising performance and key metrics.
  • Analyze donor retention, acquisition, engagement, and revenue trends.
  • Prepare monthly, quarterly, and annual development performance reports.

Campaign & Fundraising Support

  • Create audience segments and mailing lists for fundraising, advocacy, marketing, and stewardship initiatives.
  • Assist with prospect research and donor pipeline management activities.
  • Produce post-campaign analyses and recommendations.

Fundraising & Resource Development

Essential Duties and Responsibilities

  • Identify, cultivate, solicit, and steward donors, sponsors, community partners, and businesses to support organizational priorities.
  • Secure in-kind donations, sponsorships, and monetary contributions to support agency programs, events, and special initiatives.
  • Coordinate sponsorship outreach and fulfillment for agency fundraising events and community engagement activities in partnership with Development Team.
  • Partner with program and agency leadership to identify funding and resource needs and develop strategies to secure support.
  • Collaborate with the Development Team to develop, donor communications, solicitation materials, and stewardship correspondence.
  • Track donor cultivation activities, sponsorship commitments, and fundraising outcomes within Bonterra EveryAction.
  • Ensure timely donor recognition, acknowledgment, and stewardship activities.

Training & Internal Support

  • Provide training and support to staff using EveryAction.
  • Develop user guides, procedures, and documentation.

Who you are:

  • Minimum of 2 years of experience in database management, CRM administration, fundraising operations, or nonprofit administration.
  • Strong proficiency in Microsoft Excel, including formulas, pivot tables, filtering, and data analysis.
  • Experience generating reports and analyzing performance metrics.
  • Excellent organizational skills and attention to detail.
  • Strong written and verbal communication skills.
  • Ability to maintain confidentiality and handle sensitive donor information.
  • Ability to manage multiple priorities and deadlines effectively.
  • Associates or Bachelor's degree in Business Administration, Nonprofit Management, Information Systems, Data Analytics, Communications, or related field preferred
  • Experience with Bonterra EveryAction CRM preferred.
  • Experience in nonprofit fundraising or advancement services.
  • Experience soliciting, securing and processing charitable contributions, sponsorships, and donor acknowledgments preferred
