OFFICE MANAGER
Commercial Construction Company Raleigh, NC
A well-established commercial construction company in the Triangle region is seeking an experienced, organized, and detail-oriented Office Manager to oversee the company’s day-to-day administrative, accounting, payroll, and compliance functions.
This is a hands-on position with significant responsibility for maintaining accurate financial records, payroll, employee administration, and project job costing.
Major Responsibilities
Accounting & QuickBooks
- Maintain accurate financial records in QuickBooks Desktop
- Perform daily QuickBooks data entry
- Maintain accurate job costing by project and cost code
- Enter vendor invoices and properly assign costs to jobs
- Manage Accounts Payable and Accounts Receivable
- Reconcile accounts and identify discrepancies
- Prepare financial information and reports for company management and outside accounting professionals
Payroll & Employee Administration
- Process weekly payroll and maintain accurate payroll records
- Manage 401(k) payments and administration
- Process health insurance payments
- Process workers' compensation payments and related administration
- Handle new-hire paperwork and onboarding
- Maintain employee files and required documentation
State & Federal Compliance
- Complete required state and federal filings
- Maintain required employment and company records
- Coordinate required payments and reports
- Monitor deadlines to ensure filings and payments are completed accurately and on time
Office Administration
- Manage day-to-day office operations
- Maintain vendor relationships
- Provide administrative support to company management and project personnel
- Maintain organized company records
- Help establish and improve efficient office and accounting procedures
Qualifications
- Previous experience in office management, construction accounting, bookkeeping, or a related position
- Strong QuickBooks Desktop experience required
- Demonstrated experience with job costing
- Strong understanding of Accounts Payable and Accounts Receivable
- Payroll experience
- Excellent attention to detail and accuracy
- Strong organizational and time-management skills
- Ability to handle confidential employee and financial information
- Ability to work independently and take ownership of responsibilities
- Construction industry experience preferred
