Position Summary

Fifth Ward Community Redevelopment Corporation (FWCRC) is seeking a professional, energetic, and service-oriented Workspace Concierge to serve as the welcoming face and central point of contact for our shared workspace office and conference center. This position plays an essential role in creating a professional, organized, and inviting environment for members, tenants, clients, visitors, and community partners.

The ideal candidate will have a strong background in customer service, hospitality, office administration, or shared workspace operations and possess the ability to anticipate needs, resolve concerns, and manage multiple priorities in a fast-paced professional environment. The Workspace Concierge should be personable, resourceful, dependable, and attentive to detail, with a genuine commitment to providing an exceptional member and guest experience.

The Workspace Concierge is responsible for the day-to-day front desk and shared workspace experience, including visitor registration, member and tenant assistance, conference room coordination, meeting and event support, workspace amenities, mail and package handling, and basic business and technology support. The position also helps ensure that shared spaces remain clean, stocked, secure, professional, and ready for daily use.

Essential Duties and Responsibilities

  • Greet members, tenants, corporate clients, visitors, and guests in a professional and welcoming manner; manage digital visitor logs, issue security badges, and direct guests to appropriate suites or coworking areas.
  • Monitor hot-desking and coworking areas, manage day-pass check-ins, and help ensure communal workspaces remain clean, stocked, organized, and ready for use.
  • Manage conference room and meeting space reservations, assist with room setup, support basic audiovisual and hybrid meeting technology, and coordinate catering or special event needs.
  • Oversee workspace amenities and member benefits, including assigned parking, secure storage lockers, caf/common-area supplies, and other shared resources.
  • Assist members with copier, printing, and scanning services; troubleshoot basic hardware or connectivity concerns and escalate technical issues when necessary.
  • Receive, sort, secure, and distribute mail and packages; coordinate outgoing courier or delivery services for tenants and members.
  • Monitor building access points, report maintenance and facility concerns to the appropriate party, and serve as a point of contact during building emergencies in accordance with established procedures.

Member Experience and Workspace Operations

  • Welcome and orient new members and tenants to workspace amenities, access procedures, conference room use, Wi-Fi, parking, lockers, and applicable workspace policies.
  • Serve as a primary point of contact for member questions, service requests, concerns, and complaints; follow through or escalate matters to support timely resolution.
  • Conduct routine opening, closing, and operational walkthroughs to ensure common areas, conference rooms, caf areas, and shared workspaces are presentable and properly supplied.
  • Promote and reinforce shared workspace etiquette and policies related to guest access, noise, cleanliness, conference room usage, shared equipment, and common areas.
  • Maintain accurate records related to member contact information, workspace assignments, parking, lockers, access credentials, reservations, and other operational needs.
  • Assist with member events, networking activities, meetings, trainings, tours, and special events, including setup and breakdown as needed.
  • Coordinate routine vendor visits and communicate operational needs involving cleaning, maintenance, IT support, catering, deliveries, and other service providers.
  • Monitor office, caf, restroom, printing, and conference room supply levels and communicate or initiate replenishment needs according to established procedures.
  • Maintain appropriate records of maintenance requests, incidents, member concerns, lost-and-found items, and operational issues through resolution.
  • Protect confidential member, tenant, visitor, access-control, payment, and organizational information.

Administrative and Business Support

  • Provide general administrative support related to the operation of the shared workspace and conference center.
  • Assist with workspace reservations, day-pass documentation, service charges, invoices, or payment-related questions within the authority assigned to the position.
  • Communicate facility, security, technology, and member-service concerns to management and appropriate departments.
  • Maintain organized front desk records, workspace documentation, schedules, and operational information.
  • Perform other duties as assigned that support the effective operation of the shared workspace and FWCRC.

Qualifications and Skills

  • Two or more years of experience in hospitality, corporate reception, customer service, office administration, property services, or shared workspace management preferred.
  • Exceptional verbal and written communication skills with a polished, professional, and service-oriented demeanor.
  • Strong organizational skills, attention to detail, dependability, discretion, and ability to manage multiple priorities.
  • Ability to resolve scheduling conflicts and member concerns calmly, professionally, and efficiently.
  • Comfort working independently while collaborating effectively with management, members, tenants, vendors, and other stakeholders.
  • Proficiency with Microsoft Office or Google Workspace and ability to learn coworking management platforms, visitor management systems, and conference room booking software.
  • Working knowledge of basic AV and hybrid meeting technology, such as Zoom Rooms or Microsoft Teams, preferred.
  • Demonstrated commitment to confidentiality, sound judgment, professionalism, and excellent customer service.

Work Environment and Physical Requirements

  • Ability to work at a front desk or reception area for extended periods while remaining attentive to members and visitors.
  • Ability to periodically walk throughout the facility to inspect and support shared spaces, conference rooms, and amenities.
  • Ability to lift, carry, or move packages, supplies, and light meeting equipment up to approximately 25-50 pounds, with or without reasonable accommodation.
  • Ability to assist with basic conference room and event setup and breakdown.
  • Reliable attendance and punctuality are essential due to the front-facing and operational nature of the position.
  • Occasional schedule flexibility may be required to support meetings, events, or operational needs outside regular business hours.

Compensation

  • Pay is commensurate with experience and qualifications.
