We are looking for a motivated Paralegal Assistant to join a legal team in Middleton, WI and provide administrative and case support for patent-related matters. This position combines day-to-day office coordination with specialized assistance for U.S. and international patent filings, offering an excellent opportunity for someone interested in building a career in intellectual property. The ideal candidate is organized, dependable, and comfortable managing detailed work while partnering closely with paralegals and attorneys.

Responsibilities:

• Support the legal department with daily administrative activities, document handling, and general office coordination.

• Prepare, submit, and track documents associated with patent prosecution matters for both domestic and international filings.

• Research patent information using the Patent Center and other legal or regulatory resources to support ongoing matters.

• Open new files, organize electronic records, and maintain accurate case information throughout each stage of the filing process.

• Communicate with internal stakeholders and clients by sending status updates, reports, and deadline notifications with a high degree of accuracy.

• Apply established patent procedures and filing requirements while working under the guidance of supervising paralegals and attorneys.

• Participate in training and career development activities to expand knowledge of patent practices and legal updates.

• Contribute to special assignments and additional projects as needed while managing multiple priorities effectively.

• Experience with office administration and the ability to manage multiple tasks in a structured, organized manner.

• Strong verbal and written communication skills for effective interaction with colleagues and clients.

• Excellent attention to detail and a consistent focus on accuracy when preparing and reviewing legal documents.

• Ability to prioritize work, meet deadlines, and maintain dependable attendance and punctuality.

• Willingness to learn patent procedures and develop expertise through hands-on training and formal instruction.

• Comfort working both independently and collaboratively in a legal support environment.

• Proficiency with standard business software and electronic file management systems.

Salary & Benefits:

  • $45-55K depending on experience
