SciTech Services is seeking a highly organized and detail-oriented Administrative Assistant to provide administrative and program support to the National Institutes of Dental and Craniofacial Research (NIDCR). This position supports program staff and management with scheduling, travel coordination, meetings and events, correspondence, reporting, data tracking, procurement, and general administrative operations.
Key Responsibilities
- Provide administrative, procedural, and program support to staff and management.
- Manage calendars, schedule appointments, and coordinate meetings, conferences, workshops, and site visits.
- Prepare and edit correspondence, reports, spreadsheets, presentations, charts, forms, and other documents.
- Track program activities, schedules, deadlines, action items, and administrative requirements.
- Research information requests, respond to routine inquiries, and follow up on outstanding actions.
- Coordinate local, domestic, and international travel using Concur Government Edition (CGE), including travel authorizations, reservations, vouchers, and required approvals.
- Provide logistical support for scientific conferences, workshops, events, and site visits, including Professional Service Orders (PSOs) and Non-NIH Affiliated travelers.
- Prepare purchase requisitions, office supply orders, and other procurement-related documentation.
- Maintain confidential and sensitive information, electronic records, databases, and tracking systems.
- Screen and route telephone calls, emails, correspondence, and inquiries.
- Enter, track, and maintain program data using databases and spreadsheets and prepare reports as needed.
- Assist with improving administrative processes and operational efficiency.
- Perform other administrative duties as assigned.
Qualifications
- High school diploma or equivalent required; college degree preferred.
- Minimum of three years of administrative experience supporting organizational or program operations; NIH experience is a plus.
- Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
- Excellent organizational, time-management, and attention-to-detail skills.
- Strong written and verbal communication skills.
- Ability to establish and maintain effective working relationships with internal and external personnel.
- Ability to work independently, manage multiple priorities, and meet deadlines.
- Strong computer, grammar, proofreading, and document preparation skills.
