The Development Coordinator provides administrative, operational, and project support to the Development team across a portfolio of active data center development projects. This position supports key department workflows including contract administration, invoice and vendor coordination, insurance compliance tracking, project documentation, executive support, and event coordination.
The ideal candidate is highly organized, technologically proficient, and comfortable working in a fast-paced construction and development environment. This individual must have the ability to independently manage recurring workflows, maintain accurate project records, coordinate across multiple internal and external stakeholders, and proactively identify administrative or process needs.
Travel up to 10%.
RESPONSIBILITIES
Contract Administration & Project Documentation
  • Coordinate the routing, execution, and tracking of contracts, amendments, and related project agreements.
  • Maintain accurate contract records and monitor agreement status across active development projects.
  • Enter and maintain contract information within applicable accounting, project management, and document management systems.
  • Assist with purchase order creation, updates, and supporting documentation.
  • Maintain organized electronic project files and ensure documentation is current, complete, and easily accessible.
  • Prepare correspondence, reports, presentations, meeting minutes, and other project documentation as needed.
  • Support contract renewals, quote tracking, and vendor documentation processes.
Invoice & Vendor Management
  • Coordinate Development department invoice workflows from receipt through approval and payment processing.
  • Review invoices for completeness, accuracy, appropriate project allocation, and alignment with applicable contract terms.
  • Route invoices through established approval workflows and proactively follow up on outstanding approvals.
  • Maintain invoice tracking records and assist with identifying discrepancies, duplicate invoices, or missing supporting documentation.
  • Serve as a point of contact for vendors regarding invoice submission requirements and payment status.
  • Coordinate with Accounting, Development, and project teams to resolve invoice and vendor-related issues.
  • Assist with vendor onboarding and maintenance of vendor records.
Insurance & Compliance Tracking
  • Collect and maintain Certificates of Insurance and other required vendor compliance documentation.
  • Monitor insurance expiration dates and proactively coordinate renewal requests.
  • Maintain accurate insurance and compliance tracking logs across active Development projects.
  • Escalate outstanding or non-compliant documentation as appropriate.
Development & Project Support
  • Provide administrative and operational support across multiple concurrent development projects
  • Coordinate with Development Managers, project teams, consultants, contractors, and internal departments to support project workflows.
  • Assist with the preparation and distribution of recurring project and department reports.
  • Support meeting coordination, agendas, meeting minutes, action item tracking, and follow-up.
  • Assist with maintaining project data and records within Development technology platforms.
  • Identify opportunities to improve administrative workflows, documentation, and department processes.
Executive & Department Support
  • Provide administrative support to Development leadership, including calendar coordination, meeting scheduling, travel arrangements, and preparation of correspondence or materials.
  • Coordinate internal and external meetings involving executives, project teams, vendors, and consultants.
  • Handle confidential and sensitive information with discretion and professionalism.
  • Support department-wide administrative needs and special projects as assigned.
Event & Meeting Coordination
  • Assist with planning and coordinating department events, project milestones, team meetings, site visits, and other Development functions.
  • Coordinate event logistics including scheduling, venues, vendors, catering, materials, and attendee communication.
  • Support on-site event execution and vendor coordination as needed.
  • Maintain event documentation, budgets, and related administrative records.
EDUCATION AND EXPERIENCE
  • 2–4 years of experience in construction, general contracting, real estate development, or a related project environment preferred.
  • Experience with contract administration, project coordination, or construction administration.
  • Experience supporting invoice processing, accounts payable workflows, vendor management, or job cost-related functions.
  • Working knowledge of construction terminology, project documentation, and general project workflows.
  • Experience providing administrative or executive-level support.
  • Experience coordinating corporate, department, or project-related events preferred.
  • Associate or Bachelor’s degree in Business Administration, Construction Management, or a related field preferred; equivalent relevant experience will be considered.
  • Data center or mission-critical construction experience is a plus.
KNOWLEDGE, SKILLS, ABILITIES, AND COMPETENCIES
  • Strong technological aptitude with the ability to quickly learn and navigate new software platforms.
  • Proficiency in Microsoft Office, particularly Excel, Outlook, Word, and PowerPoint.
  • Experience with Procore or similar construction project management software preferred.
  • Familiarity with accounting, ERP, document management, or vendor management systems.
  • Strong organizational skills with the ability to independently manage multiple workflows and competing deadlines.
  • Exceptional attention to detail and commitment to data and document accuracy.
  • Strong written, verbal, and interpersonal communication skills.
  • Ability to communicate professionally with executives, project teams, contractors, consultants, and vendors.
  • Strong problem-solving skills and the ability to approach challenges logically and proactively.
  • Ability to identify process gaps and recommend practical workflow improvements.
  • Self-starter with a proactive, flexible, and solutions-oriented approach.
  • Ability to work independently while effectively collaborating within a cross-functional team.
  • Ability to handle confidential information with discretion and professionalism.
