Position Summary
The Administrative Clerk provides clerical and administrative support to ensure efficient day-to-day office operations. This position is responsible for maintaining accurate records, processing documents, responding to inquiries, organizing files, entering data, and assisting management and staff with routine administrative needs.
Essential Duties and Responsibilities
- Perform general clerical and administrative duties, including filing, scanning, copying, printing, and document preparation.
- Answer and direct telephone calls, emails, and general inquiries in a professional manner.
- Maintain electronic and paper filing systems and ensure records are accurate, organized, and confidential.
- Enter, update, and verify information in company databases, spreadsheets, and internal systems.
- Prepare correspondence, reports, forms, letters, and other business documents.
- Receive, sort, and distribute incoming mail, packages, and correspondence.
- Assist with scheduling appointments, meetings, and conference rooms.
- Maintain office supplies and notify management when additional supplies are needed.
- Assist with employee paperwork and administrative HR or payroll documentation as assigned.
- Track documents requiring signatures, approvals, or follow-up.
- Maintain confidentiality of employee, company, customer, and financial information.
- Communicate professionally with employees, customers, vendors, contractors, and management.
- Assist with special projects and other administrative duties as assigned.
Qualifications
- High school diploma or GED required.
- Previous administrative, clerical, or office experience preferred.
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills.
- Ability to maintain accuracy while handling multiple assignments.
- Strong attention to detail and ability to meet deadlines.
- Ability to handle confidential and sensitive information appropriately.
- Professional demeanor and dependable attendance.
Computer Skills
- Proficiency with Microsoft Office, including Word, Excel, Outlook, and Teams.
- Ability to learn company databases, payroll, HR, and document-management systems.
- Accurate data-entry and basic computer skills.
Physical Requirements
- Ability to sit and work at a computer for extended periods.
- Ability to perform routine office activities, including filing, copying, and retrieving documents.
- Ability to lift and carry office materials weighing up to 20 pounds.
Employment Classification: Full-Time / Non-Exempt
