Facility Scheduler

Location: Westminster, CO (On Site)

Pay: $22–$24/hour

Schedule: Monday–Friday or 4x10 schedule options

Position Overview

Addison Group is hiring for our client, an ambulatory surgery facility in Westminster, CO, seeking a Facility Scheduler to manage upcoming surgical cases and serve as a key point of contact for physician offices.

This is more than a traditional scheduling position. The Scheduler will maintain visibility into upcoming case volume, communicate regularly with physician practices, identify potential cancellations, and provide leadership with updates on scheduling trends and anticipated volume.

There are no patient-facing scheduling calls in this role. Communication is primarily with physician offices, facility staff, and leadership.

Key Responsibilities

• Receive and coordinate surgery schedules from physician offices
• Communicate with physician practices regarding upcoming procedures and schedule changes
• Build strong relationships with physician office staff
• Track upcoming cases, cancellations, and schedule changes
• Proactively identify potential cancellation risks and help resolve scheduling barriers
• Monitor weekly surgical case volume
• Forecast anticipated monthly case volume
• Identify scheduling gaps and opportunities for additional cases
• Provide leadership with updates on current schedules, projected volume, and cancellations
• Participate in weekly scheduling and volume discussions with leadership
• Maintain organized and accurate scheduling information
• Occasionally provide front desk coverage
• Assist with additional front-office responsibilities as needed

Qualifications

• 2+ years of medical or healthcare experience preferred
• Medical scheduling experience preferred but not required
• Surgery scheduling or physician office scheduling experience is a strong plus
• Experience communicating with physician offices and providers
• Strong phone, email, and interpersonal communication skills
• Organized and comfortable managing a changing schedule
• Ability to track case volume and maintain accurate information
• Comfortable communicating with facility and regional leadership
• Flexible and willing to assist outside of core scheduling responsibilities
• Comfortable occasionally supporting the front desk

Ideal Candidate

The strongest candidate will have experience as a physician office or surgery scheduler and be ready to take on more ownership.

We are looking for someone who is outgoing, organized, and relationship-focused. This person should be able to look beyond simply placing cases on a calendar and understand the bigger picturewhat is coming up, where there are gaps, which cases may be at risk of cancellation, and what information leadership needs to plan ahead.

Schedule Options

The facility offers some scheduling flexibility, including:

• 4x10 schedule: Approximately 6:30 AM–5:00 PM
• 5x8 schedule: Approximately 8:00 AM–4:30 PM

Final schedule will be established with the facility.
