Thomas Auto Group is seeking a highly organized, dependable, and self-directed Human Resources Assistant to support the Corporate Human Resources Director and HR operations for multiple automotive dealership locations in Indiana and Illinois.
This is a hands-on HR support position in a busy, multi-location environment. The workday frequently involves multiple priorities, interruptions, deadlines, employee questions, onboarding needs, paperwork, and requests from managers at different locations. The successful candidate must be comfortable managing several responsibilities at once while maintaining accuracy and following established priorities.
We are looking for someone who does not need constant direction or reassurance to complete routine responsibilities. The ideal candidate takes ownership of assigned work, keeps track of unfinished tasks, asks thoughtful questions when clarification is genuinely needed, and follows projects through to completion.
This position requires good judgment. Not every request will have the same level of urgency, and the ability to determine what requires immediate attention, what can wait, and when to involve the HR Director is essential.
Key ResponsibilitiesCoordinate new-hire onboarding and ensure all required documentation is complete, accurate, and received on time
Maintain confidential personnel files and employee records for multiple dealership locations
Track outstanding HR documents and independently follow up with employees and managers when information is missing
Assist with benefits administration, enrollment documentation, employee communications, and recordkeeping
Prepare and process employee status changes and other payroll-related documentation
Maintain HR spreadsheets, reports, logs, and tracking systems
Assist with recruiting activities, interview scheduling, background-check processes, and pre-employment requirements
Respond professionally to routine employee and manager questions and recognize when an issue should be escalated to the HR Director
Assist with HR audits, compliance documentation, personnel-file reviews, and special projects
Monitor assigned deadlines and follow up without requiring repeated reminders
Provide administrative support to the Corporate Human Resources Director while maintaining awareness of established priorities
Handle confidential and sensitive employee information with discretion at all times
This position is best suited for someone who:
Can manage multiple open tasks without losing track of what still needs to be completed
Can be interrupted, address an appropriate issue, and return to the original assignment without losing focus
Understands that a new request is not automatically the highest priority
Takes notes, follows established procedures, and applies instructions appropriately
Can distinguish between a one-time instruction and a change to an established process
Attempts to find an answer using available resources before immediately asking for assistance
Is comfortable working independently while knowing when an issue genuinely needs to be escalated
Communicates clearly and professionally with employees, managers, vendors, and leadership
Pays close attention to names, dates, documentation, deadlines, and other details
Accepts feedback professionally and adjusts quickly when corrections are needed
Takes ownership of mistakes, corrects them, and works to prevent them from recurring
Understands that confidentiality and discretion are non-negotiable in Human Resources
Previous administrative experience required
Previous Human Resources experience strongly preferred
Experience supporting multiple locations, departments, or managers is highly preferred
Strong organizational, time-management, and prioritization skills
Excellent attention to detail and follow-through
Strong written and verbal communication skills
Proficiency with Microsoft Word, Excel, Outlook, and general office technology
Ability to learn HR, payroll, recruiting, and dealership systems
Ability to work independently without continuous supervision
Ability to handle sensitive and confidential information appropriately
Professional, dependable, and accountable
Experience with ADP, Hireology, Dealertrack, automotive dealerships, payroll support, benefits administration, or employee onboarding is a plus, but not required.
