TITLE: RECEIVING COORDINATOR
Reports to: Warehouse Manger

POSITION SUMMARY
The Receiving Coordinator provides day-to-day receiving, inventory control, parts-room, and administrative support for the Maintenance, Repair and Operations (MRO) function at Ecopax's Bethlehem facility.
This position is responsible for ensuring MRO parts, maintenance supplies, equipment, and other designated materials are accurately received, inspected, documented, stored, issued, and tracked. The Coordinator works closely with the MRO function and Maintenance team to maintain an organized and reliable parts inventory, support preventive maintenance activities, and help ensure critical parts and supplies are available when needed.
The position is intended to provide dedicated operational support to the MRO function, allowing the MRO lead to focus on sourcing, purchasing, vendor management, maintenance planning, critical-spares management, and other higher-level MRO responsibilities.
ESSENTIAL DUTIES AND RESPONSIBILITIES
RECEIVING & MATERIAL CONTROL
- Receive MRO parts, maintenance supplies, equipment, and other designated deliveries for the Bethlehem facility.
- Verify incoming shipments against purchase orders, packing slips, and other receiving documentation.
- Inspect deliveries for visible damage, shortages, overages, incorrect items, or other discrepancies.
- Promptly communicate receiving discrepancies, damaged materials, or missing items to the MRO lead.
- Accurately document receipt of materials and maintain appropriate receiving records.
- Ensure materials are routed to the appropriate storage location or internal recipient.
- Coordinate the return of incorrect, damaged, or defective materials as directed.
- Maintain an organized process for incoming deliveries to prevent materials from being misplaced or left in unsecured or undesignated areas.
DOCUMENTATION & ACCOUNTING SUPPORT
- Maintain packing slips, receiving records, purchase-order documentation, and related records in an organized manner.
- Ensure receiving documentation is accurately completed and routed to Accounting/AP or other appropriate personnel.
- Assist with researching discrepancies involving purchase orders, packing slips, invoices, quantities, or deliveries.
- Maintain records necessary to support inventory accountability and purchasing reconciliation.
- Assist with periodic reporting related to MRO inventory, receiving activity, open orders, and inventory discrepancies.
QUALIFICATIONS
- High school diploma or GED required.
- Previous experience in receiving, warehouse operations, inventory control, parts management, maintenance support, manufacturing, or a related environment preferred.
- Experience working with MRO parts, industrial maintenance supplies, or manufacturing equipment parts strongly preferred.
- Basic understanding of purchase orders, packing slips, receiving documentation, and inventory transactions.
- Strong organizational skills and attention to detail.
- Ability to accurately identify, label, store, count, and track parts and materials.
- Comfortable using computers and learning inventory, purchasing, or ERP systems.
- Working knowledge of Microsoft Outlook and Excel preferred.
- Ability to communicate effectively with Maintenance, Operations, Accounting, vendors, and other internal departments.
- Ability to prioritize multiple requests in a fast-paced manufacturing environment.
- Dependable, responsive, and able to work with limited supervision after appropriate training.
PREFERRED KNOWLEDGE & SKILLS
- Experience with MRO inventory or industrial parts-room operations.
- Familiarity with mechanical, electrical, pneumatic, hydraulic, or general industrial maintenance components.
- Experience conducting cycle counts and physical inventories.
- Experience working with minimum/maximum inventory levels and reorder points.
- Ability to read and understand basic part numbers, equipment descriptions, vendor documentation, and maintenance-related terminology.
- Experience supporting preventive maintenance programs.
- Previous experience in a manufacturing environment.

Position Purpose
By establishing disciplined receiving, inventory-control, parts-room, and PM-support processes, this role will help ensure that the right parts are available, identifiable, and accessible when Maintenance requires assistance while allowing the MRO function to concentrate on sourcing, procurement, vendor management, planning, and critical maintenance needs.
