Position Overview

RestoreFast is a national leader in remediation, demolition, restoration, and reconstruction services executing active abatement and restoration scopes across federal military installations. We are seeking a highly organized, self-directed Project Administrator to serve as the operational backbone for day-to-day field activities on base. This is an on-site, base-embedded role you are the connective tissue between field crews, the project manager, inspectors, and the client. You manage the daily rhythm of the project: crew accountability, inspection coordination, materials, key control, client communication, and end-of-day reporting. This position starts as a 90-day contract with a clear pathway to long-term permanent placement for candidates who perform.

What You'll Own Day-to-Day

• Track and manage daily crew assignments, schedules, and attendance across all active project work on base

• Coordinate and confirm inspection schedules with third-party inspectors and base personnel no inspections get missed

• Verify inspection completion, document results, and escalate any failed or deferred inspections to the project manager immediately

• Maintain end-of-day field reports covering crew hours, work completed, inspections, materials consumed, and open items

• Manage key sign-in/sign-out log for all base facilities maintain chain of custody and accountability at all times

• Source and track secondary materials needed for active scopes coordinate with suppliers and project manager on procurement

• Serve as the day-to-day point of contact for client representatives on base handle routine communications, updates, and requests professionally

• Escalate client concerns, schedule conflicts, or access issues to the project manager with full context and documentation

• Input and maintain field data in FieldMate project management platform ensure records are current, accurate, and audit-ready

• Support project manager with administrative documentation, change order tracking, and file organization

• Coordinate base access logistics for crew members, subcontractors, and visitors in accordance with installation protocols

Qualifications Required

• Must be a U.S. Citizen required for federal base access and background clearance

• Must possess a REAL ID-compliant identification (gold star) non-negotiable for military installation entry

• Must be local to the installation area no relocation candidates considered for this role

• Must be able to pass a federal background check for base access prior to start

• Valid driver's license with clean driving record daily on-base driving required

• Strong organizational skills with the ability to manage multiple moving pieces simultaneously without dropping the ball

• Clear, professional written and verbal communication you are client-facing on a federal contract

• Proficiency in Microsoft Office (Word, Excel, Outlook) and comfort learning new field management software

• Ability to work independently on base with minimal supervision this role requires self-direction and ownership

Qualifications Preferred

• Prior experience in a construction, remediation, or field operations administrative role

• Familiarity with FieldMate, Procore, or equivalent project management platforms

• Experience working on or with federal military installations

• Background in construction administration, scheduling coordination, or client relations

• Associate's or Bachelor's degree in business administration, construction management, or related field a plus not required

Physical & Work Environment

• On-site, base-embedded role this is not a remote or hybrid position

• Must be comfortable working in and around active construction and remediation zones

• Ability to walk job sites, access work areas, and perform light physical activity as needed

• Standard 40-hour work week; schedule aligned with project operations on base

Compensation & Path to Permanent

• $25.00 per hour paid weekly

• 40 hours per week, consistent schedule
