We are looking for an Executive Assistant to support daily operations for our company in Sandy, Utah. This role is ideal for someone who brings strong organizational judgment, effective communication, and the ability to keep multiple priorities moving smoothly. The position plays a key part in coordinating executive activities, managing administrative workflows, and ensuring members and stakeholders receive responsive, high-quality support.

Responsibilities:

• Manage administrative and clerical activities that support association operations, maintaining organized records and clear communication across day-to-day functions.

• Coordinate executive and committee meetings by scheduling sessions, preparing agendas and supporting materials, documenting minutes, and tracking follow-up actions.

• Arrange webinars and virtual meetings through platforms such as Zoom, ensuring logistics, materials, and participant communication are handled effectively.

• Oversee calendar commitments and organize travel plans, including itineraries and related arrangements, to support leadership and business needs.

• Respond to member questions and public inquiries in a timely and helpful manner, providing useful information and directing issues appropriately.

• Support accounts payable processing and complete assigned tasks connected to the organization’s Canvas platform with accuracy and attention to detail.

• Maintain confidentiality when handling sensitive documents and communications, applying sound judgment and secure recordkeeping practices.

• 3+ years of experience in an executive assistant, administrative support, or similar role.

• Demonstrated ability to manage calendars, meetings, and shifting priorities in a fast-paced environment.

• Experience coordinating travel arrangements, including scheduling, itineraries, and related logistics.

• Strong written and verbal communication skills with the ability to interact professionally with members, leadership, and the public.

• Proficiency in Canva, Teams, Zoom, Word, Excel, WordPress, and InDesign highly preferred..

• Familiarity with virtual meeting and webinar platforms such as Zoom.

• High level of discretion, accuracy, and reliability when working with confidential information.
