Position Title:Police Public Records Clerk
Location:Albuquerque, New Mexico, 87102
Duration:Standard 2-year contract
Pay Rate: $19.50/hr. on W2
Work Schedule:Monday – Friday, 8:00 AM – 4:30PM
Position Overview
The Police Public Records Clerk is responsible for processing, reviewing, redacting, and distributing police public records in compliance with the Inspection of Public Records Act (IPRA). This role requires strong organizational skills, attention to detail, confidentiality, and the ability to engage with members of the public and internal city departments professionally.
Duties & Responsibilities
Records Management & Processing
- Receive, review, and prepare police records, audio, video, and other materials requested by the public or internal departments.
- Upload, print, and compile reports and documentation.
- Review incoming requests, determine required resources, and route to the appropriate team when necessary.
- Access various police databases and law enforcement systems to retrieve and verify information.
Research & Communication
- Perform background checks by accessing records across internal or external agencies.
- Coordinate with HR, Payroll, Internal Affairs, Legal, and other city departments to gather required documents.
- Prepare and draft routine correspondence; consult with Legal for complex requests.
- Provide clear cost quotes, issue invoices, and collect payments as needed.
Redaction & Compliance
- Review and identify sensitive or protected information for redaction following IPRA requirements.
- Ensure that all released documents comply with legal, departmental, and confidentiality guidelines.
Administrative Support
- Perform general clerical duties such as filing, typing, maintaining records, and updating data logs.
- Respond professionally to public inquiries and police personnel requests.
- Operate office equipment including computers, scanners, microfiche readers, fax machines, and copiers.
- Maintain accurate and organized logs, files, and documentation.
Additional Duties
- Assist other City Departments with records requests.
- Provide customer service and resolve complaints efficiently.
- Perform other related duties as assigned.
Required Knowledge, Skills & Abilities
Knowledge of:
- Law enforcement records filing, retrieval, and processing.
- Police report writing standards.
- Background research techniques.
- Modern office practices, equipment, and computer systems.
- Record-keeping procedures and basic mathematical principles.
- Business correspondence and basic report preparation.
- Confidentiality and legal compliance standards.
Ability to:
- Perform complex records management tasks independently.
- Maintain confidentiality of sensitive information.
- Research, analyze, and interpret technical information.
- Communicate clearly and professionally, both verbally and in writing.
- Operate standard office equipment and databases efficiently.
- Work with minimal supervision in a fast-paced environment.
- Build and maintain professional working relationships.
Minimum Qualifications
- High school diploma or GED required.
- 4 years of clerical or administrative support experience.
- Experience in a law enforcement environment preferred.
