Position Overview
We are seeking a detail-oriented and highly organized Paralegal to provide administrative and legal support. This position will support attorneys with client relations, practice administration, document preparation, corporate matters, franchise registrations and renewals, compliance, and special projects.
The ideal candidate is self-motivated, comfortable managing multiple priorities, and able to work independently while maintaining a high level of accuracy, professionalism, and client service.
Key Responsibilities
Client Relations & Practice Administration
- Serve as a professional point of contact for existing and prospective clients.
- Coordinate the new client intake process, including preparing and facilitating engagement letters, gathering information for conflict checks, setting up client files, and securing retainers.
- Greet clients and visitors while maintaining professionalism and confidentiality.
- Maintain calendars and deadline reminder systems.
- Schedule meetings, teleconferences, and videoconferences and coordinate necessary logistics.
- Manage incoming and outgoing correspondence, including mail, FedEx, fax, and electronic documents.
- Screen and prioritize telephone calls and accurately record messages.
- Process, review, edit, and transmit client bills.
- Maintain organized records and filing systems.
- Perform additional administrative and legal support duties as assigned.
Document Preparation & Management
- Proofread and edit routine law office correspondence and legal documents for grammar, punctuation, spelling, and accuracy.
- Prepare accurate legal documents with minimal supervision.
- Work with large and complex legal documents using Microsoft Office 365.
- Verify calculations on forms and documents as needed.
Corporate Law Support
- Assist with the formation of business entities and maintenance of corporate records.
- Assist with revisions to simple and complex corporate transaction documents.
- Perform North Carolina UCC searches.
- Coordinate foreign lien and judgment searches with service providers.
Franchise Registrations & Renewals
- Prepare initial state franchise registration and renewal submission packets.
- Track the status of registrations and renewals throughout the process.
- Communicate with state regulators to assist with the review process.
- Provide clients with status updates.
- Maintain detailed and accurate records regarding submissions and their status.
Franchise Compliance & Development
- Prepare initial drafts of franchise agreements and related documents using established templates under attorney supervision.
- Coordinate document execution.
- Track deadlines and manage the collection of required information from clients.
- Prepare final execution versions of documents.
- Support franchise transfers and renewals by tracking deadlines, gathering information from stakeholders, and preparing relevant documentation.
- Manage documentation related to transfers and assignments of existing domestic franchise and development agreements.
Project Management & Special Projects
- Manage, track, and report on active legal project logs.
- Help ensure projects remain on schedule for timely completion.
- Conduct research, analyze findings, and prepare concise summaries to support decision-making.
- Take on additional responsibilities and special projects as directed by attorneys.
