Mailroom & Administrative Support Associate

About the Role

We are seeking a detail-oriented and dependable Mailroom & Administrative Support Associate to support daily document processing, mail distribution, and administrative operations. This role is ideal for someone who enjoys working in a fast-paced environment, is comfortable with data entry and technology, and takes pride in delivering excellent internal customer service.

Key Responsibilities
  • Process time-sensitive business documents while adhering to established deadlines and service level expectations.
  • Receive, sort, and distribute incoming mail, interoffice correspondence, and oversized packages promptly and accurately.
  • Prepare outgoing mail and shipments using FedEx, UPS, and other carrier services.
  • Conduct package tracking and lost shipment research to ensure timely resolution.
  • Scan, index, and image documents while maintaining quality, accuracy, and established department standards.
  • Identify, sort, batch, and prepare hard-copy documents for processing.
  • Enter and update information accurately using company-specific software systems and databases.
  • Receive and process data files from clients, vendors, and internal departments.
  • Assist with FedEx and UPS account/profile setup and maintenance.
  • Order, organize, and maintain inventory of mailing, shipping, and office supplies.
  • Operate and troubleshoot mailroom equipment, including postage meters, inserters, scanners, printers, mail sealers, and labeling machines.
  • Provide outstanding service and communication to internal employees and business partners.
Required Qualifications
  • Minimum 6 months of professional work experience in an office, administrative, mailroom, customer service, or related environment.
  • High School Diploma or GED required.
  • Strong written and verbal communication skills with excellent grammar and professionalism.
  • Proficiency with Microsoft Office Suite, including Outlook, Word, and Excel.
  • Comfortable performing data entry with a high level of accuracy and attention to detail.
  • Ability to type 40+ WPM (typing assessment required).
  • Strong organizational, multitasking, and time management skills.
  • Ability to work independently and as part of a team.
Preferred Qualifications
  • Previous mailroom, document processing, administrative support, or records management experience.
  • Experience working with CRM systems or business software applications.
  • Basic troubleshooting skills for office equipment and computer systems.

Pay and Benefits

The pay range for this position is $20.00 - $20.00/hr.

Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
