Position SummaryWe're looking for an experienced, results-driven Senior Admissions Coordinator to manage the admissions process for multiple treatment centers. This role is for a proven closer who can turn inquiries into admissions while showing every caller real compassion. You'll guide prospective clients and their families from first contact through admission. You'll also mentor other admissions staff and help us hit our census goals.
Key Responsibilities- Handle inbound and outbound calls from prospective clients, families, referents and professional partners, and turn qualified leads into admissions.
- Run thorough pre-admission screenings and assessments to find the right level of care and the right facility within our network.
- Guide callers from inquiry to admission, building trust and addressing concerns, objections and barriers to treatment.
- Work with the utilization review, verification of benefits (VOB) and clinical teams to confirm insurance coverage and clinical appropriateness.
- Explain insurance benefits, financial responsibility and private-pay options clearly and accurately.
- Coordinate admission logistics, including travel arrangements, intake scheduling and handoffs to facility staff.
- Follow up on all open leads quickly and persistently to get the most conversions.
- Keep accurate, timely records in the CRM/EMR system and meet HIPAA and 42 CFR Part 2 confidentiality standards.
- Mentor and support admissions coordinators, sharing best practices and closing strategies.
- Track and report on admissions metrics, conversion rates and lead sources.
- Build relationships with referral sources and community partners.
- Meet or exceed monthly admissions and census targets.
Qualifications- 3+ years of experience in behavioral health, substance use disorder or mental health admissions, with a strong record of conversions and closing.
- Solid understanding of levels of care (Detox, Residential, PHP, IOP, OP).
- Working knowledge of commercial insurance, VOBs and payer requirements.
- Excellent phone presence, active listening and persuasive communication skills.
- Ability to handle sensitive, emotional conversations with empathy and professionalism.
- Highly organized, self-motivated and comfortable in a fast-paced, goal-driven environment.
- Proficient with CRM and EMR systems (e.g., Salesforce, Kipu, Lead Squared or similar).
- High school diploma required; bachelor's degree in a related field preferred.
- Lived experience in recovery is welcome and valued.
