Client Service Associate or Paraplanner to join its team in Boca Raton. This position can be tailored based on experience level and offers an excellent opportunity for someone looking to build a long-term career within financial services.

Position Overview This role combines elements of
client service, account administration, investment operations, and financial planning support. Depending on prior experience and licensing, responsibilities may lean more toward either the Client Service Associate or Paraplanner track.
You will work directly with advisors and clients, assisting with account administration, client communications, planning preparation, investment reporting, and ongoing relationship management.
Key ResponsibilitiesClient Service & Operations- Serve as a primary point of contact for client service requests
- Assist with new account openings, account maintenance, and transfer paperwork
- Track account transfers and follow up on outstanding documentation
- Maintain accurate client records within CRM and financial planning systems
- Process and monitor client requests in a timely and professional manner
- Coordinate and schedule client meetings, reviews, and follow-up appointments
- Prepare client correspondence, forms, and service documentation
- Handle client billing inquiries and account-related questions
- Maintain organized digital and physical client files
- Support advisors with administrative and operational tasks
Financial Planning & Paraplanning Support- Gather and organize financial data for planning engagements
- Assist in preparing financial plans, recommendations, and review materials
- Analyze client investment holdings and account activity
- Prepare reports, presentations, and meeting materials
- Conduct research related to investment, retirement, insurance, and planning strategies
- Assist with portfolio reviews and data reconciliation
- Update planning software and maintain accurate financial records
- Support advisors in implementing planning recommendations
- Monitor workflow and follow through on planning-related action items
Client Experience- Deliver exceptional client service and relationship management
- Anticipate client needs and proactively resolve issues
- Coordinate client communications via phone, email, and virtual meetings
- Assist with client appreciation initiatives, special events, referral campaigns, and marketing efforts
- Help maintain a professional and welcoming office environment
Qualifications- High School Diploma required; Associate's or Bachelor's degree preferred
- Experience in financial services, wealth management, banking, investment operations, or financial planning preferred
- Prior experience as a Client Service Associate, Financial Planning Assistant, Investment Operations Associate, Relationship Manager, or Paraplanner is highly desirable
- Strong client service and communication skills
- Excellent organizational and time management abilities
- High attention to detail and accuracy
- Proficiency in Microsoft Office Suite, including Excel, Outlook, Word, and PowerPoint
- Experience using CRM systems and financial planning software is a plus
- Ability to manage multiple priorities in a fast-paced environment
- Professional, dependable, and team-oriented
- Strong ethical standards and commitment to client confidentiality
Preferred Qualifications- Experience supporting Financial Advisors or Wealth Managers
- Familiarity with financial planning concepts, retirement planning, investments, and advisory services
- FINRA licenses or planning designations are a plus but not required
- CFP coursework or Paraplanner experience strongly preferred for candidates seeking the higher end of the compensation range
