Corporate Operations Specialist: Freeport, Illinois
We areseeking a highly organized and detail-oriented professional to joinour Hughes Recruiting and Consultingteam. We're recruiting aCorporate Operations Specialistto work full-time on 1st shift. As a Corporate Operations Specialist, you will provide cross-functional administrative and operational support to the Sales, Marketing, andCorporateteams to ensure efficient business operations and consistent client, candidate, and employee engagement. This role requires exceptional communication, organization, and problem-solving skills with the ability to manage multiple priorities in a fast-paced environment while maintaining a high level of professionalism and attention to detail.
Responsibilities of the Corporate Operations Specialist:
Sales Support
- Conduct client quoting research, including legal business name verification, OSHA research, and workers' compensation code identification.
- Prepare new digital agreements and client documentation for signature.
- Ensure timely initiation of client agreements upon request.
- Proof and audit sales process compliance using established procedures and checklists.
- Compile and distribute weekly sales opportunity tracking reports.
- Assist leadership in monitoring client activity and prospect engagement.
- Support sales representatives with client research, lead generation, and contact identification.
- Research and pursue opportunities to add the organization to preferred vendor lists and corporate supplier programs.
- Assemble and distribute sales collateral, promotional items, and client appreciation materials.
- Coordinate client nurture initiatives, recognition programs, and account management activities.
- Prepare pipeline communications and administrative reports for the sales team.
Marketing Support
- Assist with internal communications regarding new hires, promotions, employee milestones, client achievements, and community involvement.
- Coordinate with vendors for printed materials, branded merchandise, and promotional products.
- Monitor and maintain inventory of all marketing and promotional materials.
- Manage and maintain job postings across approved platforms.
- Supportrecruiting events, career fairs, and community outreach activities.
- Support branch offices with recruiting and marketing materials.
- Assist with email contact list management.
- Coordinate follow-up activities between sales and marketing teams.
- Coordinate client appreciation initiatives, gifts, recognition programs, and relationship-building activities.
- Prepare and distributesalescollateral and client-facing materials.
- Maintain client, prospect, and recruiting databases to support ongoing communication efforts.
Corporate Leadership Support
- Support executive leadership with special projects and delegated responsibilities.
- Coordinate administrative and operational tasks that improve organizational efficiency.
- Assist the CEO with facilities, including branch projects such as purging, renovations, and location updates.
Corporate Operations Specialist Requirements and Qualifications:

- Associate's orBachelor's degree in Business, Marketing, Communications, Administration, or related field preferred.
- Previous experience in administrative support, operations, marketing coordination, sales support, project coordination, or related roles preferred.
Pay for Corporate Operations Specialist:$50,000-$55,000
