We are looking for a detail-oriented Holiday Registrar (Bilingual Spanish) to support seasonal client registration activities in California. This is a long-term contract opportunity for an organized administrative team member who can manage multiple priorities, provide courteous front-desk support, and keep records accurate in a fast-moving environment. The ideal candidate will bring strong customer service instincts, dependable follow-through, and the ability to handle scheduling and documentation with care.
Responsibilities:
• Welcome clients courteously, create a positive first impression, and gather required household, demographic, and income details during registration.
• Prepare the office for daily operations and organize appointment schedules so client visits run efficiently throughout the day.
• Review client records for accuracy, update database information when corrections are needed, and help maintain complete files.
• Coordinate appointments by booking, confirming, changing, or canceling visits and arranging follow-up meetings when appropriate.
• Provide clients with clear verbal and written information about program steps, required documents, and important deadlines.
• Produce registration-related reports for toy distribution and submit information within established timeframes.
• Maintain orderly business and client records, including detailed call logs that support ongoing client services.
• Collaborate with partner organizations and internal leadership to help prevent duplicate program participation and communicate registration status updates.
• Represent the organization with flexibility and respect while supporting high-quality service across the team.
• At least 2 years of experience in administrative support, front desk operations, or a similar office-based role.
• Strong ability to manage multiple tasks, stay organized, and adjust priorities in a busy and changing environment.
• Excellent attention to detail with a consistent track record of accurate, timely work.
• Experience handling inbound calls, scheduling appointments, and assisting clients or visitors in a detail-focused manner.
• Proficiency in data entry and maintaining accurate digital and paper records.
• Clear written and verbal communication skills with a customer-focused approach. Bilingual Spanish is required.
• Ability to work collaboratively with team members and external partners while maintaining a respectful and reliable approach at all times.
