Events Manager
MVP360 Sports
Springfield, PA, Upper Macungie Township, Wayne, PA:

Hybrid, with on-site presence during camps and events
Part-time, 8–16 hours per week (flexible); hours increase during school holidays, summer, and peak camp periods
Compensation: competitive hourly rate of $25-$30/hour

Role overview

The Events Manager plans, organizes, and delivers high-quality youth sports camps, clinics, and community events for MVP360 Sports. The role owns events from concept through delivery and evaluation, making sure they are well organized, safe, engaging, and aligned with MVP360 standards.

MVP360 Sports equips youth with life skills, resilience, character, healthy habits, and physical literacy through sports. Programs run across military installations and community sites and include flag football, soccer, basketball, volleyball, cheer, lacrosse, pickleball, multi-sport, and leadership/STEAM clinics for ages 8–18, with a focus on military-connected families and underserved communities.

Key responsibilities

Event planning and delivery

  • Plan, coordinate, and deliver holiday camps, summer camps, clinics, and sporting/enrichment events
  • Oversee events from concept through delivery and post-event evaluation
  • Build event schedules, timelines, run-of-show, and daily activity plans

Camp organization

  • Organize all aspects of camps and clinics, including themed days, station rotations, and required resources
  • Confirm equipment, curriculum, and supplies are ready before staff and participants arrive
  • Support consistent delivery of the Leadership First / Rise Up experience

Venues and logistics

  • Book and liaise with venues, including schools, community sites, and military installations
  • Coordinate set-up, pack-down, and equipment transport
  • Confirm venues meet health, safety, and youth-protection requirements, including base access and credentialing where required
  • Support travel and lodging coordination for coaches and staff deploying from the Philadelphia hub

Staffing and communication

  • Set staffing levels and rotas for camps and events
  • Communicate clearly with coaches and staff before and during events
  • Support recruitment, onboarding, and briefing of seasonal coaches and staff
  • Serve as a point of contact for staff during delivery

Equipment and resources

  • Organize, track, and maintain equipment and event resources
  • Ensure equipment is delivered, set up, and stored correctly

Health, safety, and compliance

  • Ensure events meet safeguarding, health and safety, and risk-assessment requirements
  • Liaise with venues on policies, insurance, and emergency procedures
  • Brief staff on youth-protection procedures and event protocols
  • Support background-check and installation-access requirements for personnel working with youth

Administration and systems

  • Work with operations/admin on booking systems, participant lists, and camp documentation
  • Support accurate event listings, registrations, and data management
  • Maintain event files, waivers, incident logs, and post-event records

Partnerships and stakeholders

  • Work with schools, venues, military family programs, community organizations, and sports partners
  • Support and develop partnerships for camps and enrichment events
  • Represent MVP360 professionally with all stakeholders

Budgeting and finance

  • Support event budgeting and cost control
  • Track event-related spend so delivery stays within approved budgets
  • Flag invoice or expense discrepancies for review before payment

Communication and marketing support

  • Provide event details for flyers, social posts, and parent communications
  • Work with marketing on promotion of camps and clinics
  • Manage pre-event and on-the-day communication with parents, schools, venues, and partners

Monitoring and improvement

  • Gather feedback from staff, parents, youth, and partners
  • Evaluate events and identify improvements
  • Produce post-event summaries or reports as required

Essential skills and experience

  • Strong organization and ability to manage multiple events at once
  • Clear written and verbal communication
  • Able to work independently and shift priorities as camps change
  • Valid U.S. driver’s license and ability to travel to event sites as needed
  • Experience in events, childcare, education, sports, or youth enrichment

Requirements

Desirable

  • Experience coordinating holiday camps, sports clinics, or similar youth programs
  • Experience with schools, venues, military installations, or community organizations
  • Working knowledge of youth safeguarding, health and safety, and risk assessments
  • Experience supporting event budgets or monitoring costs
  • Familiarity with registration systems or camp administration
  • Background in coaching, recreation, or military-family programming
