The Finance & Operations Coordinator is responsible for supporting CT Logistics' daily financial, accounting and operational activities. The position works closely with Finance, Accounting, Administration, Operations and other departments to ensure financial transactions, banking activities, reporting, operational processes and administrative responsibilities are completed accurately and timely. This position requires a high degree of confidentiality, accuracy, organization and judgment and serves as a cross-functional resource supporting both routine daily processes and the resolution of financial and operational issues.
Responsibilities
· Support the daily processing, calculation, balancing, verification and handling of financial transactions involving CT Logistics, its customers, carriers, vendors and banking partners.
- Perform and/or support daily banking activities, including EFT/ACH transactions, electronic payments, FastPay, PCard and other banking processes as required.
- Assist with Accounts Payable and Accounts Receivable functions and ensure transactions are processed accurately and timely.
- Assist with the handling of checks, commissions, reconciliations, monthly reports and other recurring accounting responsibilities.
- Review financial and operational activity for accuracy and investigate discrepancies or out-of-balance conditions.
- Support weekly and periodic production-closing activities and other operational processes as required.
- Maintain and update applicable customer, carrier, banking and operational information within CT systems.
- Provide internal and external customer service and communicate with clients, carriers, banks, vendors and other business partners when required.
- Maintain confidentiality regarding financial, employee, customer and company information.
- Follow established internal controls, company procedures, customer requirements and applicable ISO standards.
- Maintain documentation and records necessary to support internal and external audits.
- Identify recurring problems, inefficiencies or control concerns and work with management and other departments to improve processes.
- Participate in testing, implementation and improvement of financial and operational systems, procedures and automation initiatives.
- Maintain a working knowledge of CT Logistics' freight audit, payment and transportation processes in order to understand the relationship between operational activity and financial transactions.
- Provide backup support for other Finance, Accounting, Administration and operational functions as necessary.
- Perform other duties and responsibilities as assigned.
Qualifications
- High school diploma required; associate's or bachelor's degree in Accounting, Finance, Business Administration or a related field is preferred.
- Prior experience in accounting, bookkeeping, finance, banking, administrative support or business operations preferred.
- Experience with Accounts Payable, Accounts Receivable, banking transactions, reconciliations or financial recordkeeping is preferred.
- Strong written and verbal communication skills.
- Ability to communicate effectively with associates at all levels of the organization as well as customers, carriers, vendors and banking partners.
- Strong Microsoft Excel skills and proficiency with Microsoft Word, Outlook and other business software.
- Ability to learn and efficiently use CT Logistics' corporate systems, banking platforms, timekeeping applications and other web-based tools.
- Strong analytical, critical-thinking and problem-solving skills.
- Strong organizational skills with the ability to manage multiple responsibilities and deadlines.
- High degree of accuracy and attention to detail.
- Ability to work independently while also functioning effectively as part of a cross-functional team.
- Ability to handle confidential and financially sensitive information appropriately.
- Transportation, logistics or freight audit/payment experience is preferred but not required.
