Community Association Manager Job Summary
A premier Central Ohio property management and community association management company is seeking an experienced, detail-oriented Community Association Manager / Property Manager to oversee the daily operations of a portfolio of condominium and homeowners' associations (HOAs).
The Community Association Manager will serve as a primary point of contact for Boards of Directors, homeowners, residents, vendors, contractors, and community stakeholders. This position is responsible for coordinating property maintenance, vendor management, financial administration, compliance, inspections, community communications, and Board support.
The ideal candidate has strong property management, HOA/community association management, vendor management, financial reporting, conflict resolution, and organizational skills and is comfortable managing multiple communities and priorities simultaneously.
Community Association Manager Duties and Responsibilities
- Manage the daily operations and administration of condominium and homeowners' associations
- Serve as the primary property management contact for HOA Boards of Directors, homeowners, residents, vendors, and contractors
- Coordinate routine and emergency maintenance, repairs, inspections, and property services
- Schedule and oversee maintenance for common areas, community facilities, buildings, grounds, and other association property
- Respond to homeowner and resident questions, concerns, service requests, and maintenance issues
- Manage relationships with third-party vendors, contractors, service providers, and maintenance companies
- Obtain, review, and coordinate vendor proposals, bids, contracts, and service agreements
- Monitor vendor performance and ensure contracted services are completed accurately and on schedule
- Coordinate property inspections, maintenance inspections, compliance inspections, reports, and follow-up activities
- Identify maintenance and operational issues and coordinate appropriate corrective action
- Attend and facilitate Board of Directors meetings and community association meetings
- Prepare meeting materials, reports, updates, and follow-up items for Board members
- Communicate community needs, projects, maintenance issues, and financial information to Boards and homeowners
- Assist Boards with annual budgets, operating budgets, reserve planning, and financial forecasting
- Assist with reserve studies and long-term capital improvement planning
- Monitor and assist with accounts receivable, invoices, assessments, and association financial records
- Review financial reports and assist with financial reporting and budget-to-actual analysis
- Coordinate collection and follow-up activities related to HOA assessments and outstanding accounts
- Assist with community rules, regulations, governing documents, and compliance requirements
- Help resolve homeowner concerns, complaints, disputes, and community conflicts professionally
- Facilitate conflict resolution, negotiations, and problem-solving between homeowners, Boards, vendors, and other stakeholders
- Maintain accurate property, vendor, financial, maintenance, and community records
- Utilize property management software, association management software, Microsoft Office, Microsoft Outlook, Excel, and other administrative systems
- Track open projects, maintenance requests, violations, inspections, vendor work, and Board action items
- Manage multiple properties, communities, projects, deadlines, and competing priorities
- Follow up consistently with homeowners, Board members, vendors, and contractors to ensure issues are resolved
- Provide exceptional customer service and community association support
Community Association Manager Requirements and Qualifications
- Previous property management, community association management, HOA management, condominium management, or related experience
- Experience managing HOA and/or condominium communities strongly preferred
- Experience working with Boards of Directors, homeowners, residents, vendors, and contractors
- Strong vendor management and contractor management skills
- Experience coordinating property maintenance, inspections, repairs, and capital projects
- Knowledge of HOA operations, community association administration, property maintenance, and compliance preferred
- Experience with budgets, accounts receivable, invoicing, financial reporting, and expense management
- Familiarity with reserve studies, reserve planning, and long-term community maintenance planning preferred
- Strong conflict resolution, negotiation, and problem-solving skills
- Excellent written and verbal communication skills
- Exceptional organization and time-management skills
- Strong attention to detail and follow-through
- Ability to multitask and manage multiple communities and priorities simultaneously
- Proficiency with Microsoft Office, Microsoft Outlook, Microsoft Excel, and property management/community association software
- Strong customer service and relationship management skills
- Ability to make sound decisions and exercise good judgment
- Bachelor's degree in Business Administration, Property Management, Hospitality, or a related field preferred but not required
- Ability to attend occasional evening Board of Directors and community association meetings
Schedule
Monday–Friday, 8:30 AM–5:00 PM
Occasional evening availability is required for Board meetings, community meetings, and association events.
