Position Summary
The Advisor Services Associate provides operational and administrative support to the Advisor Services Team. This role is responsible for supporting advisor and client account servicing activities including account set up, maintenance requests, transaction support, documentation processing, and client communication. The Advisor Services Associate serves as a key point of contact for day-to-day service needs, ensuring account-related requests are handled accurately, efficiently, and with a high level of attention to detail.
This position is based in Nashville, TN, and requires on-site attendance Monday through Thursday, with Fridays designated as work-from-home.
Essential Duties & Responsibilities
The primary responsibilities of this position include but are not limited to:
- Setting up new account records in Salesforce CRM and portfolio accounting systems
- Assisting Independent Investment Advisors (IARs) and their clients with transactions, service requests, electronic client onboarding and paperwork, and reporting
- Submitting required documentation to custodians through electronic portals, email, fax, and mail
- Coordinating with financial custodians regarding account processing, asset transfers, reconciliations, troubleshooting, and other account-related matters
- Interacting daily with internal employees via phone, Microsoft Teams, and email
- Communicating daily with IARs through both inbound and outbound phone calls and email correspondence
- Preparing, reviewing, and processing various account-related forms and account maintenance documentation
- Building and maintaining strong professional relationships while providing ongoing support
- Servicing accounts and conducting timely follow-up on outstanding requests and account related matters
- Updating the CRM in a timely manner with all account-related communications, including creating case notes, attaching relevant emails, and documenting phone conversations
- Corresponding regularly with internal and external Sales Teams through the direct operations reporting structure to support company goals
- Entering data and managing the scanning and faxing of documents
- Creating and distributing reports as needed
Position Requirements
- 1-2 years or experience in a financial services and/or professional office environment
- Ability to adhere to 4 days on site requirement
- Ability to communicate professionally and confidentially with clients
- Ability to interpret documents, understand procedures, prepare correspondence, and communicate clearly with clients and employees
- Ability to routinely manage time-sensitive situations
- Excellent problem-solving skills
- Extremely detail-oriented with strong organizational skills
- Ability to manage multiple priorities in a fast-paced environment
- Strong computer skills with emphasis on Microsoft Word and Excel
Preferred Experience
- Familiarity with portfolio accounting systems and CRM software
Education
- Bachelor’s degree preferred; comparable work experience may be considered
