Job Description
We are looking for a highly organized Executive Assistant to provide dedicated support to the General Manager in Virginia. This is a Contract position requiring onsite availability Monday through Friday in a fast-moving healthcare environment. The ideal candidate brings strong executive support experience, sound judgment, and the ability to manage competing priorities with accuracy.
Responsibilities:
• Manage the General Manager’s schedule by coordinating appointments, prioritizing commitments, and ensuring daily activities run smoothly.
• Arrange meetings from start to finish, including scheduling participants, preparing materials, organizing logistics, and supporting follow-up actions.
• Coordinate travel plans and related itineraries, ensuring efficient arrangements that align with business needs and timelines.
• Serve as a point of contact for vendors by handling communications, tracking deliverables, and helping maintain productive working relationships.
• Support project execution by monitoring timelines, organizing tasks, and keeping stakeholders informed of progress and next steps.
• Assist with budget-related activities by tracking project expenses, maintaining records, and helping ensure spending stays aligned with approved plans.
• Prepare documents, presentations, spreadsheets, and correspondence using Microsoft Word, Excel, Outlook, and PowerPoint.
• Handle multiple administrative and project-based priorities simultaneously while maintaining attention to detail in a fast-paced setting.• At least 5 years of executive assistant experience, including direct support to senior leaders or executives.
• Demonstrated ability to manage complex calendars, meeting schedules, and high-volume coordination responsibilities.
• Experience arranging business travel and overseeing related scheduling details.
• Strong background in project coordination, including tracking action items, timelines, and deliverables.
• Familiarity with budget tracking or expense oversight connected to projects or executive operations.
• Advanced proficiency in Microsoft Office Suite, especially Word, Excel, Outlook, and PowerPoint.
• Excellent organizational, communication, and multitasking skills with the ability to work effectively in a fast-paced onsite environment.
