We are a fast-growing, high-volume production and E-commerce business based in Phoenix, AZ. Our operational environment spans digital storefront retail, light production, and warehouse distribution. We are seeking a detail-oriented, high-energy Accounts Payable Coordinator with 3+ years of experience to join our accounting team full-time onsite.

Position Overview

In this role, you will manage the day-to-day transaction cycle supporting both our production facility and e-commerce operations. You will be responsible for handling high-volume invoicing, navigating complex vendor accounts, and executing strict three-way matching. The ideal candidate has strong transactional stamina and hands-on proficiency in Sage 300.

Key Responsibilities

High-Volume Invoice Processing: Accurately enter, code, and process multi-vendor and multi-entity invoices daily within Sage 300.

3-Way Matching: Execute rigorous 3-way matching across inventory invoices, purchase orders (POs), and warehouse goods-received logs.

E-commerce & Merchant Reconciliation: Verify and reconcile high-volume online merchant fees, digital platform expenses, and incoming freight/shipping bills.

Vendor Management: Act as the primary point of contact for vendor inquiries, research invoice discrepancies, and audit vendor monthly statements.

Payment Prep: Assist the accounting supervisor with weekly check runs, ACH allocations, and wire transfers.

File Maintenance: Organize and digitally archive all payment documentation, tax forms (W-9s), and operational logs to ensure compliance.

Requirements & Qualifications

Experience: 3+ years of dedicated Accounts Payable or transactional bookkeeping experience.

Software: Proficiency using Sage 300 highly desired (or similar software) for AP voucher processing and account lookups.

Industry Context: Direct exposure to e-commerce, fulfillment centers, supply chain distribution, or manufacturing workflows is highly preferred.

Skills: Excellent numerical accuracy, solid understanding of GL coding, and intermediate Microsoft Excel skills (vlookups, basic data sorting).

Onsite Commitment: Ability to work full-time on-location at our Phoenix office.

Business hours 7:00 am to 6:00 pm Monday – Thursday. One hour lunch.
