Executive Assistant – IT Leadership Team

Position Overview:

We are seeking an experienced Executive Assistant to provide high-level administrative and operational support to senior IT leadership, including VPs, SVPs, CIOs, and other technology executives.

This role will serve as a key point of contact for the IT Leadership Team, helping manage executive calendars, coordinate meetings, organize events, and ensure day-to-day operations run smoothly.

The ideal candidate is highly organized, proactive, detail-oriented, and comfortable supporting multiple

executives in a fast-paced corporate environment.

Work Arrangement: Onsite 3–4 days per week

Key Responsibilities

Executive & Administrative Support

  • Manage complex calendars and schedules for senior IT executives.
  • Coordinate meetings, appointments, and leadership events.
  • Resolve scheduling conflicts and manage competing priorities.
  • Provide administrative support to the Office of the CIO, Chiefs of Staff, and executive leadership.
  • Anticipate executive needs and ensure daily operations run efficiently.

Meeting & Event Coordination

  • Schedule and organize in-person and virtual leadership meetings.
  • Coordinate meeting logistics, agendas, materials, and follow-up activities.
  • Support leadership events, presentations, and executive gatherings.
  • Ensure executives are prepared for meetings and important engagements.

Communication & Team Coordination

  • Maintain executive distribution lists, organizational charts, and leadership contact information.
  • Manage leadership communication channels and administrative updates.
  • Coordinate with executive assistants, Chiefs of Staff, and cross-functional teams.
  • Support communication and collaboration across the IT organization.

Operational Support

  • Assist with leadership reporting, meeting schedules, and administrative processes.
  • Support recurring executive meetings and leadership planning activities.
  • Maintain accurate records, documentation, and organizational information.
  • Identify scheduling or operational challenges and proactively resolve them.

Required Qualifications

  • Experience providing executive-level administrative support.
  • Strong calendar management, scheduling, and meeting coordination skills.
  • Excellent organizational skills and attention to detail.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Strong written and verbal communication skills.
  • Ability to handle confidential and sensitive information professionally.
  • Strong problem-solving skills and ability to work independently.
  • Experience collaborating with multiple departments and executive stakeholders.
  • Ability to work onsite 3–4 days per week.

Preferred: 5+ years of Executive Assistant experience, ideally with 2–3 years supporting VP, SVP, CIO, or other senior executives.

Experience supporting IT or technology leadership is a strong plus.

Preferred Qualifications

  • Previous experience supporting VPs, SVPs, CIOs, or executive leadership teams.
  • Experience working within IT, technology, or corporate operations organizations.
  • Experience managing executive communications, distribution lists, and organizational charts.
  • Familiarity with executive leadership meetings, governance forums, and operational planning.
  • Experience coordinating across multiple executive calendars and leadership teams.

Ideal Candidate

The ideal candidate has experience supporting senior executives in a large corporate environment, preferably within IT or technology. They should be comfortable managing complex schedules, coordinating leadership meetings, communicating with senior stakeholders, and handling competing priorities with minimal supervision.
