POSITION SUMMARY
The Resale Coordinator – Development manages developer-to-builder lot transactions, supports the onboarding of new HOA communities, processes payments, and assists with account reconciliation. This position requires strong attention to detail, organization, accuracy, and the ability to manage multiple transactions while ensuring timely completion and follow-through.
PRIMARY RESPONSIBILITIES
Developer-to-Builder Resale Transactions
- Generate Statements of Account (SOAs) for developer-to-builder lot sales requested by title companies, including applicable fees and charges.
- Process ownership transfers following closings, including updating ownership records, mailing addresses, charges, and payments in Vantaca.
- Maintain accurate Excel tracking spreadsheets containing applicable fees, development information, and transaction records.
- Perform monthly audits to reconcile SOAs issued with completed ownership transfers and identify outstanding transactions.
New HOA Onboarding and Development Setup
- Set up ZEGO for new and transitioning HOA communities.
- Process registered-agent and mailing-address changes through applicable state systems as directed.
- Prepare and upload plats and lot information into Vantaca for new developments and additional phases, verifying information for accuracy.
Prior-Owner Account Reconciliation
- Prepare and submit required unclaimed-property reports and funds to Texas and Colorado in accordance with applicable requirements.
- Investigate uncashed or returned prior-owner refund checks and coordinate follow-up or reissuance as appropriate.
Payment Processing
- Process manual deposits for accounts receivable received in the office, including checks and other authorized payments.
- Maintain accurate deposit records and provide supporting documentation to Accounting for posting and reconciliation.
Backup and Additional Support
- Following appropriate training, provide backup support to the Accounts Receivable and Resale departments during employee absences or as business needs require.
- Backup responsibilities may include lockbox processing, deposits, bank returns, and builder-to-homeowner or homeowner-to-homeowner resale transactions.
QUALIFICATIONS
- Strong organizational skills and exceptional attention to detail.
- Proficiency in Microsoft Excel and general computer applications.
- Ability to manage multiple transactions, prioritize responsibilities, and meet deadlines.
- Strong communication, problem-solving, and follow-through skills.
- Ability to work independently while collaborating with Accounting, Resale, and other departments.
- Experience with Vantaca, ZEGO, or HOA management processes preferred.
- Experience with financial transactions, accounting support, or property records preferred.
- Ability to maintain confidentiality and follow established financial procedures and internal controls.
- High School Diploma or GED required.
