Position Summary

We are seeking an experienced, detail-oriented Commercial Property Manager to assist in the day-to-day operations and financial management of a portfolio of commercial retail, office, and condominium properties located in the Greater Austin Area.

The ideal candidate will have a strong understanding of commercial property accounting, lease administration, tenant relations, and vendor management. This position requires excellent organizational skills, financial aptitude, and the ability to manage multiple priorities while maintaining positive relationships with property owners, tenants, and service providers.

The Commercial Property Manager will work closely with the Director of Property Management and accounting team to ensure properties are professionally maintained, operating expenses are controlled, and ownership receives accurate and timely financial information. PM will supervise a maintenance engineer covering the portfolio of approximately ten locations. The position is full-time, in office and will require local travel to inspect properties monthly.

Major Areas of Responsibility:

  • Maintain positive relationships with commercial tenants, condominium owners, and property ownership.
  • Monitor property income, operating expenses, and financial performance.
  • Oversee day-to-day property operations, maintenance, and vendor services.
  • Ensure accurate and timely financial reporting to property ownership.
  • Support the preservation and improvement of property value.

Essential Duties and Responsibilities

Financial Management & Reporting

  • Review tenant accounts, monitor delinquent accounts, and coordinate collection efforts.
  • Review monthly financial statements, identify budget variances, and communicate significant financial issues.
  • Assist in developing annual operating budgets and monitoring expenses throughout the year.
  • Approve vendor invoices reviewing for accuracy, appropriate coding, and compliance with approved budgets.
  • Monitor tenant billings, operating expense reimbursements, and other lease-related charges.

Tenant Relations & Lease Administration

  • Serve as a primary point of contact for tenants and condominium owners.
  • Prepare professional tenant communications, notices, and correspondence.
  • Monitor lease expirations, renewal options, rental adjustments, and other critical lease dates.
  • Coordinate lease renewals and amendments as approved by property ownership.
  • Assist with lease compliance and resolution of tenant concerns.
  • Prepare condominium resale documents and coordinate ownership transfers as needed.
  • Maintain accurate tenant records, lease information, and contact databases.

Property Operations & Vendor Management

  • Conduct regular property inspections to identify maintenance needs, safety concerns, and opportunities for improvement.
  • Coordinate repairs, preventive maintenance, and property services with building engineers and outside vendors.
  • Track maintenance requests and ensure timely completion through the property management system.
  • Obtain vendor proposals, monitor service contracts, and verify satisfactory completion of work.
  • Monitor vendor performance, contract compliance, and property operating expenses.
  • Coordinate tenant-specific services and ensure appropriate charges are billed.
  • Maintain accurate vendor records, contracts, and certificates of insurance.

Owner Communication & Administrative Responsibilities

  • Assist in preparing monthly and quarterly ownership reports.
  • Provide timely updates regarding property operations, financial performance, and significant maintenance issues.
  • Maintain organized electronic property records and documentation.
  • Manage multiple deadlines and priorities across assigned properties.
  • Complete special projects assigned by property ownership.

Required Qualifications

  • Minimum three years of commercial property management or commercial condominium management experience.
  • Working knowledge of commercial property accounting, including accounts payable, accounts receivable, budgeting, financial reporting, and bank reconciliations.
  • Proficiency in Microsoft Office, particularly Excel, Outlook, and Word.
  • Experience with Yardi Breeze or comparable commercial property management software.
  • Strong written and verbal communication skills.
  • Excellent organizational skills, attention to detail, and ability to manage multiple properties and deadlines.
  • Ability to work independently, exercise sound judgment, and resolve problems professionally.
  • Valid Texas driver's license, reliable transportation, and current automobile liability insurance.

Preferred Qualifications

  • Experience managing retail shopping centers, office buildings, or commercial condominium associations.
  • Experience with Yardi Breeze financial reporting and tenant accounting.
  • Familiarity with commercial lease administration, CAM reconciliations, and operating expense recoveries.
  • Experience preparing property budgets and monthly ownership reports.
  • Professional designation such as CPM, RPA, or equivalent industry education.
