About the Role
This role combines order processing, shipping coordination, and bookkeeping. You’ll take in customer orders, arrange their shipment, and then handle the financial side in QuickBooks, from invoicing through reconciliation. It’s a great fit for someone who is organized, accurate, and enjoys seeing a process through from beginning to end. This position is based at our Whitmore Lake facility.
Order Processing & Shipping Responsibilities
- Receive and enter customer orders by phone, email, and online
- Confirm pricing, quantities, and product details for our coatings, adhesives, and sealants
- Arrange shipping by obtaining freight quotes, selecting carriers, and scheduling pickups
- Prepare shipping documents such as packing slips and bills of lading
- Track shipments and keep customers updated on order status
- Maintain accurate order, shipping, and customer records
Bookkeeping Responsibilities
- Manage accounts payable and accounts receivable in QuickBooks
- Create and send invoices; follow up on outstanding balances
- Record transactions and reconcile bank and credit card accounts
- Assist with month-end close and prepare basic financial reports
- Support payroll processing and coordinate with our outside accountant as needed
Qualifications
- Hands-on experience with QuickBooks (required)
- 2+ years of bookkeeping or accounting experience
- Experience with order processing and arranging shipments (UPS, FedEx, LTL freight, etc.)
- Strong organizational skills and attention to detail
- Clear, professional communication by phone and email
- Comfortable with Microsoft Office or Google Workspace
- Associate’s degree in accounting or a related field is a plus, but not required
