Position Summary

We are seeking a detail-oriented, organized, and dependable Research Assistant to provide administrative, logistical, and operational support to our Clinical Research Coordinators (CRCs) and Clinical Operations team.

The ideal candidate is proactive, highly organized, comfortable managing multiple priorities, and capable of following established procedures with accuracy and minimal supervision.

This is a hands-on support role involving study documentation, patient visit preparation, laboratory specimen logistics, inventory management, and general clinic organization.

The Research Assistant plays an important role in keeping daily study operations organized and efficient, allowing our Clinical Research Coordinators to focus on patient care and clinical trial activities.

This is a non-clinical, support position and does not involve independent patient care or Clinical Research Coordinator responsibilities.

Key Responsibilities

Clinical Research & Administrative Support

• Prepare, organize, scan, upload, and maintain study-related documents, binders, and files.
• Assemble patient visit folders, study materials, and supplies in advance of scheduled appointments.
• Upload documents into eSource systems and assist with designated non-clinical data entry.
• Assist with medical record redaction using established checklists, subject to coordinator review and approval.
• Provide general administrative and clerical assistance to Clinical Research Coordinators.

Patient Visit & Scheduling Support

• Assist with appointment reminders and scheduling-related communications.
• Prepare, stock, and organize patient visit rooms.
• Ensure necessary study materials and supplies are available before scheduled visits.

Laboratory & Specimen Logistics

• Label, package, and ship laboratory specimens according to established procedures.
• Track laboratory kits, requisitions, specimen shipments, and outstanding deliveries.
• Assist with laboratory supply orders and designated laboratory logs.
• Coordinate specimen drop-offs and other study-related deliveries.

Clinic Organization & Operational Support

• Maintain designated non-clinical logs, including equipment, temperature, inventory, and sign-in logs.
• Monitor, organize, and replenish clinic supplies.
• Maintain clean, organized, and properly stocked patient visit rooms.
• Perform study-related errands, including transporting documents, laboratory materials, and supplies.
• Assist with preparation of documentation and rooms for Sponsor and Clinical Research Associate (CRA) monitoring visits.
• Communicate outstanding tasks, missing documentation, delays, and operational concerns promptly to the appropriate team member.

Minimum Qualifications

• At least 3 months of experience in clinical or pharmaceutical research.
• Previous customer service experience.
• Proficiency in Microsoft Excel, Outlook, and Teams.
• Strong organizational skills and attention to detail.
• Ability to follow written instructions, established procedures, checklists, and direction from Clinical Research Coordinators.
• Ability to prioritize and manage multiple administrative and logistical assignments accurately and efficiently.
• Strong communication skills and dependable follow-through.
• Valid driver's license and access to a reliable, working vehicle.
• Willingness and ability to travel locally, including longer-distance drives for laboratory specimen drop-offs, supply runs, and inter-site errands.

Preferred Qualifications

• Bilingual proficiency.

Work Environment & Travel

This position is primarily office- and clinic-based and requires frequent interaction with Clinical Research Coordinators, clinical operations staff, Sponsors, and other study personnel. Local travel between research sites, laboratories, and company locations is required as assigned.

The role involves prolonged computer use, movement throughout clinical and office areas, handling routine study materials and supplies, and occasional lifting of up to 20 pounds.

All duties must be performed in accordance with applicable HIPAA requirements, company policies, and established study procedures.
