Fort Myers, FL • $22.00 to $28.00 / hr • 10/14/2026

Job Description

Job Description

Position Summary

The Bookkeeper owns the day-to-day financial records of the company in QuickBooks: accounts payable, accounts receivable, job costing, bank and credit card reconciliation, payroll support, and sales tax. This is a hands-on role in a project-driven business, so accurate job costing and clean progress billing matter as much as a balanced bank reconciliation. The Bookkeeper works directly with the President and with the outside CPA at year end.

Essential Duties and Responsibilities

• Enter, code, and process accounts payable; match vendor invoices to purchase orders and receiving documents; resolve pricing and quantity discrepancies before payment.

• Prepare and issue customer invoices, including progress billings, deposits, retainage, and change orders, in accordance with contract terms.

• Manage accounts receivable and collections; produce a weekly aging report and follow up on past-due balances.

• Apply costs to the correct job so labor, material, subcontract, and permit costs report against the estimate.

• Reconcile all bank, credit card, and loan accounts monthly and investigate variances to resolution.

• Prepare and file Florida sales and use tax returns; maintain resale and exemption certificates on file.

• Process payroll or provide payroll data to the payroll provider; track PTO accruals, prevailing wage or certified payroll data where applicable.

• Maintain the chart of accounts, item list, and job list in QuickBooks with consistent naming and no duplicates.

• Produce monthly financial reports: profit and loss, balance sheet, job profitability, work in progress, and cash position.

• Assist with lien waivers, AIA-style pay applications, insurance certificates, and vendor W-9 collection; prepare annual 1099 filings.

• Support the annual review with the outside CPA and provide requested schedules and documentation.

• Maintain organized digital filing of invoices, contracts, and job documentation in company cloud storage.

Required Qualifications

• Three or more years of full-cycle bookkeeping experience.

• Demonstrated QuickBooks proficiency, including AP, AR, job costing, and reconciliation.

• Working knowledge of accrual and cash basis accounting and month-end close procedures.

• Intermediate or better Microsoft Excel skills, including formulas, sorting, filtering, and pivot tables.

• Experience preparing and filing state sales tax returns.

• Verifiable accuracy and confidentiality with financial and payroll information.

Preferred Qualifications

• Bookkeeping experience in construction, signage, manufacturing, or a project-based trade.

• Familiarity with progress billing, retainage, lien waivers, and certified payroll.

• Associate degree or higher in accounting, or QuickBooks ProAdvisor certification.

• Experience with payroll platforms and with Florida reemployment tax filings.

Skills and Competencies

• Reconciliation mindset: chases the difference until it is explained, not written off.

• Organized filing and documentation habits that survive an audit or a CPA request.

• Clear communication with vendors and customers on payment matters.

• Judgment about what to escalate to ownership and when.

• Comfortable working independently and closing the month on schedule.

Physical Requirements and Work Environment

• Primarily seated office work with extended computer use.

• Ability to lift and file records up to 25 pounds.

• Standard business hours; additional hours may be required at month end, year end, and tax deadlines.

Compensation and Benefits

The hourly range for this position is $22.00 to $28.00, and $28.00 to $35.00 for a full-charge bookkeeper who independently owns payroll, sales tax, and month-end close.[1] Placement within the range depends on experience, QuickBooks depth, and job-costing capability.

Benefits include paid vacation and sick time, paid holidays, employer-subsidized health insurance, and retirement plan participation with company match. Specific benefit terms are governed by the applicable plan documents.
