Reporting to the Controller, the Accounts Payable Manager will supervise AP staff and oversee invoice processing, vendor administration, payment operations, PCard administration, and related internal controls. This role works closely with Accounting, Finance, Operations, Procurement, and vendors to resolve issues, support cash flow forecasting and financial close, and improve AP processes.

Key Responsibilities

  • Lead daily AP operations; supervise, train, coach, and evaluate assigned staff while managing workloads and deadlines.

  • Review payment batches and ensure required approvals and supporting documentation are maintained.
  • Serve as the escalation point for complex invoice, vendor, payment, and account issues.
  • Establish and enforce AP procedures, approval requirements, authorization controls, and segregation of duties.
  • Monitor and investigate duplicate payments, unusual transactions, fraud indicators, and control exceptions.
  • Oversee W-9 and 1099 administration and maintain subcontractor compliance documentation, where applicable.
  • Manage AP cut-off, accrual identification, open invoice reviews, and other activities supporting month-end and year-end close.
  • Prepare and review AP aging, accrual, cash disbursement, and other reports; communicate material issues to the Controller.
  • Support cash flow forecasting by tracking upcoming payment obligations and anticipated disbursements.
  • Partner with Accounting to ensure AP activity is accurately reflected in the general ledger and financial reports.
  • Resolve escalated vendor and subcontractor disputes and work with cross-functional teams to address recurring discrepancies.
  • Improve AP workflows, reporting, automation, system use, and training documentation; support system implementations and upgrades.
  • Provide AP records and supporting documentation for internal and external audits.

Qualifications

  • Bachelor's degree in Accounting, Finance, Business Administration, or a related field preferred; equivalent relevant experience may be considered.
  • Five or more years of progressive AP or accounting experience, including at least two years of supervisory or team-lead experience.
  • Strong knowledge of AP processes, general ledger coding, payment administration, and internal controls.
  • Demonstrated ability to supervise and develop employees, manage competing priorities, and meet recurring deadlines.
  • Working knowledge of W-9 and 1099 requirements; subcontractor compliance experience is a plus.
  • Experience with multi-entity or multi-state AP operations preferred.
  • Strong analytical, problem-solving, organizational, and communication skills.
  • Proficiency with Microsoft Excel and accounting or ERP systems; experience with construction-industry ERP platforms, PCard systems, and expense-management tools is a plus.
