Job Description:

We are seeking a hands-on Collections Supervisor to oversee daily collections operations, manage team performance, and ensure timely resolution of outstanding customer balances. This individual will lead a team of Collections Specialists while remaining actively involved in complex account research, payment disputes, and escalated collection matters.

The ideal candidate has a strong background in accounts receivable, experience managing a substantial customer portfolio, and a proven ability to coach employees, analyze financial data, and implement process improvements. This role requires a balance of people management, analytical thinking, customer service, and direct involvement in collection activities.

Key Responsibilities:

  • Lead and develop a team of Collections Specialists through coaching, training, performance reviews, and ongoing feedback.
  • Coordinate daily workloads and collection priorities to ensure team goals and deadlines are consistently met.
  • Oversee a large accounts receivable portfolio, monitoring overdue balances, customer payment patterns, and collection risks.
  • Review aging reports and ensure appropriate follow-up on past-due accounts, including balances outstanding for 30, 60, and 90 or more days.
  • Research complex account discrepancies and assist with resolving payment issues, deductions, claims, and customer disputes.
  • Serve as the primary escalation contact for collection-related concerns from customers and internal team members.
  • Prepare and analyze recurring accounts receivable reports to evaluate collection performance, identify trends, and communicate results to management.
  • Review account documentation, collection notes, and supporting records to ensure accuracy and compliance with established procedures.
  • Partner with Accounting, Sales, Customer Service, Operations, and other departments to resolve account issues and improve collection outcomes.
  • Manage the team's shared statements inbox and coordinate the resolution of electronic data interchange (EDI) issues affecting customer accounts.
  • Support month-end activities, departmental controls, and the development of standardized operating procedures.
  • Identify workflow inefficiencies and implement practical improvements to strengthen productivity, accuracy, and cash collection results.
  • Provide direct collection support during staffing shortages or when complex accounts require additional attention.

Qualifications:

  • Minimum of 3–4 years of supervisory or people-management experience, preferably overseeing a team of five or more employees.
  • Strong experience in Accounts Receivable, Collections, Credit, or a related financial operations role.
  • Demonstrated ability to manage a high-volume customer receivables portfolio; experience with portfolios of $400 million or more annually is preferred.
  • Solid understanding of accounts receivable aging, payment terms, collection strategies, account reconciliation, deductions, and claims.
  • Proven leadership skills, including employee development, performance management, and accountability.
  • Strong analytical and problem-solving abilities, with experience identifying trends and resolving complex account issues.
  • Excellent communication and organizational skills, with the ability to manage competing priorities effectively.
  • Proficiency in Microsoft Office, particularly Excel and Outlook.
  • High attention to detail and a commitment to accurate reporting and documentation.
  • Ability to work independently while maintaining a hands-on approach to team operations and collection activities.

Preferred Qualifications:

  • Experience working with customer portals, ERP systems, and accounting software.
  • Knowledge of EDI transactions and related account resolution processes.
  • Experience developing standard operating procedures and implementing process improvements.
  • Background in retail, manufacturing, distribution, consumer products, or other high-volume business environments.
  • Bachelor's degree in Accounting, Finance, Business, or a related field preferred; equivalent professional experience may be considered.
