Network Imaging Systems sells, installs, and services medical imaging equipment. We are hiring a Full-Charge Bookkeeper for our Charlotte office. The role is full time, Monday through Friday, as it takes on more of our accounting work. It reports to the General Manager.
This role makes sure equipment sales and services are invoiced accurately and service agreements are billed on schedule. It also tracks work in progress through to billing and prepares the month-end close for review by our outside accounting firm.
What you’ll do
- Manage accounts receivable, including customer invoicing, payment application, aging review, and follow-up on outstanding balances. Escalate past-due accounts to the General Manager.
- Prepare accurate, timely invoices for equipment sales, service agreements, and time and materials work. Verify pricing, payment terms, and supporting documentation on each one.
- Maintain service agreement records and billing schedules in Salesforce. Coordinate with the service team so billing matches agreement terms.
- Monitor work in progress with operations, tracking project status, related costs, billing milestones, and completed work ready for invoicing.
- Identify and resolve billing discrepancies, missing information, and delays that affect invoicing or collections.
- Communicate professionally with customers about invoices, account balances, and payment questions.
- Maintain accurate inventory records and reconcile inventory activity with the accounting system.
- Prepare the month-end close for final review by our outside accounting firm. This includes bank and credit card reconciliations, general ledger maintenance, AR aging, and WIP schedules.
- Submit credit memos and write-offs to the General Manager for approval.
What you’ll bring
- Full-charge bookkeeping experience and a strong understanding of the complete accounting cycle.
- Strong accounts receivable experience is required, including invoicing for sales and services, service agreement billing, and collections.
- Experience in an equipment sales and field service business with inventory is preferred.
- Hands-on experience with QuickBooks Desktop Enterprise and QuickBooks Online is required.
- Salesforce experience is preferred.
- Strong attention to detail, organization, and follow-through.
- Clear, professional communication with customers, vendors, field staff, and management, and the judgment to work independently and ask questions when needed.
